Hiring Department
The University of Texas Permian Basin welcomes applications for the position of Program Coordinator with our Teacher Apprenticeship Pathways (TCP) program.
Salary Range
$50,000.00 depending on qualifications
Essential Functions
The Program Coordinator, Registered Teacher Apprenticeship Pathways (TCP) supports the operational implementation of the Teacher Certification Pathways / Impact Education grant by coordinating apprentice case management, outreach and recruitment, participant resources, progress monitoring, professional development, data and reporting, and partner follow-through. The position serves as the primary day-to-day program contact for apprentices and works with school districts, Educator Preparation Program personnel, faculty, advisors, and grant stakeholders to support enrollment, persistence, program completion, and teacher certification outcomes. Final academic and certification decisions, grant strategy and sponsor certification, and final approval of participant funding remain with the Impact Education Director and authorized University offices unless formally delegated.
Apprentice Case Management and Progress Support
1. Provide ongoing case management and individualized support to teacher apprentices, identify barriers to success, and connect participants with appropriate University, district, and community resources.
2. Monitor apprentice participation, academic progress, employment status, certification milestones, and completion of established program requirements.
3. Coordinate intervention planning and follow-up for apprentices experiencing academic, employment, financial, or program barriers, working with authorized faculty, advisors, EPP staff, district partners, and support offices.
4. Explain and track established program and certification milestones and route final academic plans, certification eligibility decisions, substitutions, exceptions, appeals, and policy interpretations to authorized academic or EPP officials.
Outreach, Recruitment, and Partner Coordination
5. Coordinate outreach and recruitment activities for the UTPB Registered Teacher Apprenticeship Program, including prospective-participant communication, information sessions, events, and follow-up.
6. Collaborate with school district coordinators, EPP personnel, college faculty, advisors, grant staff, and other stakeholders to coordinate participant support and recurring program activities.
7. Represent the TCP program at assigned University, district, community, workshop, and outreach events and maintain accurate follow-up information for interested or participating apprentices.
8. Serve as a program liaison without exercising supervisory authority over district personnel, faculty, EPP staff, or other partner offices.
Scholarships, Stipends, and Participant Resource Coordination
9. Verify participant eligibility against approved grant criteria; prepare and coordinate approved scholarship, stipend, and other participant-support disbursements; maintain required documentation; and track and reconcile activity.
10. Coordinate and track approved grant-funded participant resources, including tutoring, instructional materials, test-preparation resources, bookstore and testing vouchers, and other authorized supports.
11. Route final funding approvals, exceptions, payment authorization, and financial decisions to the Impact Education Director and authorized University offices unless those authorities are formally delegated.
Program Data, Grant Reporting, and Records
12. Maintain accurate and confidential participant records, databases, and tracking systems related to outreach, enrollment, participation, employment, certification progress, participant supports, and program outcomes.
13. Collect, verify, analyze, and compile data for grant performance measures, University reporting, and external funding requirements; prepare recurring statistical and narrative reports for leadership review and authorized submission.
14. Monitor data quality and reporting deadlines, identify missing or inconsistent information, coordinate corrections, and escalate unresolved compliance or certification issues through established channels.
Training, Professional Development, and Program Operations
15. Plan, coordinate, and support professional development activities, workshops, meetings, training opportunities, and related logistics for apprentices.
16. Maintain calendars, materials, communications, participant lists, deadlines, and follow-up items needed to execute approved Teacher Certification Pathways grant activities.
17. Identify recurring service, documentation, or workflow issues and recommend practical improvements to the Impact Education Director without independently establishing program policy or grant strategy.

Required Qualifications
2. Two (2) years of experience in education, higher education, student services, public service, workforce development, nonprofit programs, program coordination, case management, or a related environment.
3. Experience coordinating multiple projects, participants, deadlines, events, records, or program activities.
4. Experience preparing professional written communications, reports, presentations, or participant-facing program information.
5. Ability to travel locally and attend occasional evening or weekend events as required by program activities.
Preferred Qualifications
2. Knowledge of teacher preparation pathways, educator certification requirements, Registered Teacher Apprenticeship programs, or school-district educator pipelines.
3. Experience coordinating workshops, professional development, training events, outreach, recruitment, or multi-partner program activities.
4. Experience with case management, participant-resource coordination, scholarship or stipend documentation, data tracking, or grant reporting.
5. Experience with student information systems, CRM platforms, databases, reporting tools, or grant-management systems.
6. Bilingual communication skills in English and Spanish.

Schedule
Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.
Standard Working Conditions
1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
