Job Profile Summary

Under limited supervision, coordinate the contract process for all goods and services for the Procurement Department, including contract renewals, amendments, vendor contract assignments assessment and makes end-user recommendation for College approval, Purchase Order non-standard terms and conditions review/guidance to end-user and compliance. Responsibilities include coordinating the preparation, review, and administration of contracts through all stages of the contracting process, clearly defining the College\'s short and long-term business objectives, and providing precision and objectivity in assisting with contract administration. Coordinates, reviews, analyzes and provides guidance on contract amendments, and Purchase Order non-standard terms. Conducts vendor negotiations. This position must have the demonstrated ability to understand public procurement, together with the ability to understand and comply with key elements of statutory legislation and regulations under which the College operates.

  

Minimum Education:

  • Bachelor’s degree in business, paralegal studies or related field required. 
  • An equivalent combination of experience and education may be considered. 

Minimum Experience/Training:

  • Six years of  related experience

Essential Function:

  • Daily - 20%: Coordinates the Procurement contracts process in relation to goods and services; ensure attention to detail and accuracy.
  • Daily - 20%: Organizes, maintains and electronically tracks all contracts and related documents. Tracks the progress of contracts against established deadlines. Manages the College's repository of contracts.
  • Daily - 15%: Assists the Contract Negotiator and AVP with contract preparation.  Coordinates, reviews, analyzes and provides guidance on contract amendments, and Purchase Order non-standard terms. Conducts vendor negotiations.
  • Daily - 15%: Provides system administration and maintenance of the College contract tracking and management system; ensures system accuracy.
  • Daily - 5%: Assists procurement Contract Negotiator with contract and compliance issues. Provides support for issue resolution.
  • Weekly - 5%: Prepares draft documents as necessary (i.e., approval documents, notices, termination letters, letters of acceptance, cover letters).
  • Monthly - 5%: Leverages technology and develops processes to maximize efficiency, cost savings, and reduce liability exposure.
  • Other - 5%: Coordinates complex special projects as assigned.
  • Monthly - 5%: Participates in any other relevant/appropriate training programs as requested by the College.
  • Other - 5%: Performs related duties as assigned.
