POSITION SUMMARY:
The primary purpose of this position at USF is to provide Administrative support to the Department of Pediatrics, Division of Neurology. General responsibilities will include drafting letters, preparing manuscripts, setting appointments, organizing monthly clinic and on-call schedules, responding to inquiries, and assisting in the preparation of training aids and/or lecture materials and conference room reservations. Coordinate MS III students teaching with Department of Neurology and Department of Psychiatry and Behavioral Medicine; coordinate rotation of neurology and pediatric residents through Child Neurology.


RESPONSIBILITIES:

Coordinate day-to-day clerical support activities of the Division of Neurology. Responsible for maintaining pediatric neurology on-call monthly schedules in conjunction with USF answering service and Tampa General Hospital via Amcon online database and maintaining monthly clinic schedules for faculty. Responsible for preparing and submitting TGH hospital consult/visit and EEG charge tickets to Revenue Cycle Operations/Billing. Assist patients in scheduling appointments with neurologist at various clinic locations including Tampa General Hospital Rehab Center, CMS building, 17 Davis clinic, and Morsani Center.

Responsible for timely input and receipt of Division of Neurology purchase orders via online CODA e-Procurement system.

Perform clerical duties for designated faculty including typing and filing data and documentation relating to patients and patient support.

Responsible for receiving files containing confidential information related to patient care and maintaining them in accordance with standards as defined by Health Sciences Center, Morsani College of Medicine and the Department of Pediatrics and in compliance with HIPAA.

Coordinate designated Medical Faculty schedules to include setting of appointments, arranging meeting and travel schedules. Serve as liaison to residents on pediatric neurology rotation with faculty.

Coordinate voluntary faculty teaching activities with Departments of Neurology and Psychiatry, assist in preparation for medical student lectures and serve as contact person. Aid faculty in creating presentations for teaching activities, preparation of manuscripts, and medical literature research. Responsible for timely completion of COM Faculty Activity Reports, COM Faculty Annual Assignment, Evaluation and Development Process, Professional Goals reports, and Assigned Faculty Duties Summary. Provide clerical support in hospital re-credentialing, maintaining current faculty CV and CME credits.

POSITION QUALIFICATIONS:

MINIMUM:
This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

PREFERRED:
Advanced knowledge of secretarial practices.
Advanced knowledge of word processing, spreadsheet, and other personal computer applications.
Advanced knowledge of office practices and procedures.
