Job Summary
The Administrative Assistant 3 provides executive level administrative support to the VP for Government Relations at the direction of the Director of Admin Operations and serves as a member of the External Relations administrative assistant team. Administrative Assistant 3 serves as the first point of contact, responds to a wide variety of situations in a timely manner, and represents the office in the highest professional manner. Responsible for scheduling and coordination of meetings, managing travel for members of the office, managing the admin needs for the govt relations teams to assist with AUF credit card recon and maintains the department P-Card. In addition, the position will support Govt Relations events to include VIP visits, congressional tours, and hosting legislative committees. This position will interact on a consistent basis with faculty and staff, students, alumni, donors, and external community representatives.
Responsibilities
Responsibilities include, but are not limited to:
Provide direct clerical/administrative support in accordance with directives and deadlines. Coordination and management of the dally activities of the VP's calendar, travel itineraries and schedule.
- Maintains the calendar and serves as the primary point of contact for all meetings and events for the VP for Government Relations.
- Assures accurate and efficient appointment scheduling. Manages meeting and event logistics for Government Relations.
- Routinely schedule meetings with executive leadership offices and orchestrate calendars based on availability.
Assist with travel arrangements for Government Relations staff, including preparing/reviewing travel requests, authorizations, expense reports, process registrations and assist with making airline reservations, if needed. Responsible for ensuring compliance with all applicable state and institutional policies. Tracks reimbursements and logs receipts ensuring comprehensive travel records are maintained in accordance with travel guidelines & procedures.
Processes and tracks purchase requests, check requests, foundation credit card expenses, and IDRs. Maintains departmental P- Card. Ensure all expenses are maintained in accordance with USG and AU guidelines & procedures. Orders & stocks office supplies.
Support critical events and activities, including state legislative and congressional campus visits/meetings and Augusta University's annual advocacy day at the Georgia State Capitol.
Compose, edit, proofread, and format relevant documents pertaining to meetings, events, and communications from the Government Relations team. Maintain and update files, records, and computerized databases. Accurately files documents for future retrieval.
Fields telephone calls responding with information when needed or referring calls to appropriate resources, when necessary, routes messages accurately and appropriately. Serves as first point of contact for the office, all visitors, and constituents. Reviews and routes mail.
Works collaboratively with the unit of External Relations. Serves as a member and a backup to the administrative assistant team under the direction of the Administrator for the President's Office.
Perform all other job-related duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university and two years of progressively responsible administrative support experience
OR
Associate's degree from an accredited college or university and five years of directly applicable experience
OR
High School diploma, GED, or equivalent from a recognized State or Federal accrediting organization and eight years of directly applicable experience
Preferred Qualifications
Bachelor's degree from an accredited college or university and five years of experience working in a high-level administrative support capacity. Understanding of Government Relations.
Knowledge, Skills, & Abilities
Ability to maintain confidentiality
Detail-oriented with strong prioritization and organizational skills.
Excellent interpersonal, verbal, and written communication skills
Proficient in Microsoft Office and other computer software/databases
Excellent customer service skills; must be a problem solver who works quickly.
A team player willing to offer support. Must use discretion and be able to work across multiple areas.
Shift/Salary/Benefits
Shift: Days; Monday - Friday
Pay Band: B6
Salary Minimum: $18.85 - Midpoint: $23.56
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment
