Job Description

The purpose of this role is to provide administrative and operational support and oversite of the surgical services program. Responsible for providing advanced business development and financial management, analytics, strategy support, coordination, and efficiency opportunities. This position will have nonclinical administrative/ operational oversight of multiple sites in regard to surgical services.

Responsibilities: 

Operations

  • Provides oversight of surgical services central scheduling team and equipment techs.
  • Manages OR allocations, block schedule, utilization, and efficiencies.
  • Leads committees to guide operational efficiency initiatives within the department.
  • Monitors OR scheduling workflows to optimize utilization of OR time in each room/location.
  • Coordinates standardization of surgical block allocation/reallocation and overall utilization management across the ORs.
  • Focus on throughput, opportunities for improvements for overall patient experience.
  • Remains current of new trends and best practices regarding OR operations.
  • Works closely with the clinical Director of Surgical Services to allow clinical needs to guide operations.

Quality/Regulatory

  • Assists in providing operational, quality, and safety reports and dashboards.
  • Reviews trending of issues and collaborates with clinical director for solutioning.
  • Remain current with changes in the healthcare environment, such as reimbursement, legislative issues, and healthcare law.
  • Proactively identify risks and opportunities with respect to regulations and compliance and develop action plans to ensure ongoing provision of quality services.

Finance

  • Collaborates with clinical director for preparation of financial forecasting and initiatives to maintain operations within forecasted budgets.
  • Develops and maintains financial dashboards for surgical services.
  • Monitors budget trends/variances and identifies opportunities for improvements.
  • Identifies capital requirements and requests, prioritizes these requests, and executes as needed.
  • Collaborates with supply chain departments and purchasing to optimize inventory and ensure adequate supply available.
  • Identifies opportunities to implement changes to increase revenues and lower expenses.
  • Perform reviews to ensure timely charge capture, late charges to maximize revenue.

Communications and Collaboration

  • Effectively communicates with team members, physicians, and leadership on a regular basis to promote effective and efficient operations of the ORs.
  • Serves as a resource person for Surgical Services subcommittees, oversight of operational policies and procedures.
  • Serves as a liaison between team members, medical staff, and leadership.
  • Engages and collaborates with clinical leadership and MMG to identify areas for operational improvements, program development, capital needs, and ways to maintain regulatory compliance.
  • Articulates and presents data, information, and ideas in a clear and concise manner.
  • Effectively facilitates meetings and projects.
  • Manages the complex interdepartmental and interdisciplinary relationships to assure collaboration and effective/efficient operations.
  • Works closely with clinical director, medical director, and chief of surgery to remain aligned at a leadership level.

Planning and Goal Management

  • Work with MMG leadership and clinical director to develop departmental strategic plan and integrate it with the overall strategic plan.
  • Supports prioritization and allocation of resources.
  • Supports development of initiatives to improve efficiencies, patient and staff satisfaction, and patient and staff quality/safety.
  • Provides leadership role in the justification, acquisition, implementation, and integration of new products and technologies within surgical services.

Minimum Qualifications: 

  • Master’s Degree in relevant field of study.
  • Five (5) years of Management Experience to include two (2) years within Acute Care Hospital setting.

Preferred Qualifications: 

  • Master’s Degree in Business, Health Care Administration.
  • Prior surgical services experience.
  • Some training in Six Sigma/Agile/Scrum methodologies.
