College/Department Information
The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.
Job Summary
This position performs all academic functions and supports the Pulmonary/Critical Care Fellowship Program and is responsible for supervising/supporting nine fellows and the Program Director.
Responsibilities
The duties include, but are not limited to:
ADMINISTRATIVE: Provides administrative support to the Fellowship Program Director, All 9 fellows, and assigned faculty along with providing general assistance to the Pulmonary Division. Maintains and monitors the fellowship budget and day-to-day operations of the program. Provides back up for on-call/rotation schedule maintenance. Assist the Fellowship Director and fellows with presentation preparation. Complete the following requests as needed: check requests, key requests, IDR's, transcribe dictations, travel authorizations, travel reimbursement, prepare recommendation letters etc. Exercises judgement and detailed knowledge of department and/or institutional procedures related to the work performed. Coordinate conferences and in-services to include invitations, schedule speakers, complete and maintain appropriate documentation, secure location and prepare agenda.
PROGRAM COORDINATOR: Work with Chief Fellow to organize yearly rotation schedule for fellow rotations to ensure all requirements are met for successful completion of Pulmonary Fellowship Program. Arrange all outside rotations for fellows to include travel arrangements. Attend monthly coordinator's meeting and follow up with any requested action and attend quarterly GMEC meetings. Compile and organize documentation necessary to successfully maintain accreditation of program per ACGME requirements including compilation of the Self Study. Process, review and organize all fellowship applications using ERAS, coordinate interview schedule and maintain database of faculty evaluations of applicants. Collect and file all documentation from selected applicants before starting the program. Process all letters of recommendation/evaluation and credentialing requests for past & present fellows. Complete VA Housestaff assignments and review VA financial statement. Complete Curriculum Inventory Report and maintain appropriately. Prepare and distribute monthly conference and event calendar. Maintain close working relationship with GME office at all times. Reserve room, equipment, etc. for all conferences. Coordinate and schedule speakers for Core Lectures.
TRAVEL/LEAVE COORDINATION: Obtain documentation from fellow. Prepare all required forms (i.e. travel requests, check request, etc.). Process requests from fellow for leave and/or call changes (off-campus, annual, sick, etc.). Coordinate travel arrangements, if necessary. Assess clinical coverage needs. Ensure all coverage arrangements have been finalized before submitting to the Section Chief for final approval. Ensure all paperwork is complete and finalized within two weeks of departure date. Maintain accurate and individual travel files ensuring all documentation is kept orderly.
OTHER: Perform all other related duties/tasks as assigned.
Required Qualifications
Associate's degree from an accredited college or university in a related field and a minimum of three years progressively responsible experience in administrative support positions.
OR
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.
Preferred Qualifications
ACGME Program Coordinator experience
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Excellent interpersonal, written, and verbal communication skills. Must demonstrate initiative, resourcefulness, and problem-solving skills.
ABILITIES
Ability to work independently; exercise sound judgment and logical reasoning; maintain confidentiality.
Shift/Salary/Benefits
Shift: Days; Monday - Friday
Salary Range: $15.77-$18.89hourly
Pay Band: B2
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
