Position Description:

The UofL School of Dentistry is seeking a Department Coordinator III for the Diagnosis and Oral Health Department. This position will provide administrative support to the Chair and Department of Diagnosis and Oral Health.

Essential Duties and Responsibilities

  • Provide day-to-day administrative support to the Chair of Diagnosis and Oral Health; make travel arrangements; maintain the calendar for Chair and plan and schedule meetings; track and record faculty leave requests; assist with faculty affairs-related documents (e.g., annual work plans, performance reviews, promotion/tenure documents, etc.).

  • Maintain financial records and handle purchasing for department; reconcile Procard account monthly; approve payments; prepare and track budgets for all department speed types; use PeopleSoft Financials to produce financial reports; prepare purchase orders, expenses reports and travel vouchers and reimbursements; order supplies.

  • Provide general administrative support to department; handle correspondence and e-mails; prepare annual reports; sort and distribute departmental mail; coordinate and prepare for meetings (e.g., handle arrangements, for agendas, speakers, food and facilities); secure room reservations for courses; attend meetings and take minutes as directed by the Chair; develop and maintain department address lists and collaborate with other administrative staff; assist with faculty onboarding and offboarding.

  • Other duties as assigned

Target Compensation Maximum:

$27.85

Target Compensation Minimum:

$18.56

Compensation will be commensurate to candidate experience.
