Position Overview:
The Business Services Specialist at the Erickson School of Aging Studies will support finance and business functions, reporting to the Assistant Dean and Chief of Staff. Key responsibilities include managing accounts payable, procurements, contracts, and human resources transactions, as well as overseeing office management. The role involves tracking financial expenditures, producing reports, processing travel requests, and ordering supplies. Additionally, the specialist will provide executive-level administrative support to the Dean and assist in planning events and campus activities.

Telework:
A hybrid telework schedule may be available.

Responsibilities:

Prepares and processes payables, journal entries, etc.
Enter/Process Payment Requests via PeopleSoft Finance/Paw Procurement System.
Generate, review, provide analysis, and distribute monthly budget reports.
Perform data analysis, revenue, and expenditure tracking, and reconcile expenses for all relevant accounts for all funding sources, including promptly identifying, researching, and correcting errors.
Supports investigators in preparing applications or renewals for grants and contracts. Develops cost projections such as salary and fringe benefits.
Serves as the Primary Payroll Preparer for the Erickson School. Ensures the accurate and timely processing of bi-weekly payroll. Is responsible for accurately interpreting, processing, and reviewing time entry and other personnel data in PeopleSoft.
Prepares and processes the appropriate payroll and human resource paperwork for all hiring, transfers, terminations, and other actions for all employee types.
Manage and coordinate the daily calendar and schedule meetings and appointments of the Dean.
Supports the planning internal and external events, team projects, or other campus activities.
Required Minimum Qualifications:
Requires a High School Diploma or GED and six years of progressively responsible experience in budgeting, accounting, payroll, purchasing, and personnel work.
Must have excellent written, verbal, and interpersonal communication skills.
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, as well as in Google Suite and digital communication tools.
Ability to perform basic mathematical computations, perform accurate data entry, and organize, prioritize, and execute various assignments.
Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications:
Bachelor’s Degree or higher in Business, Accounting, Public Administration, or related discipline.
Prior experience working at USM, the State of Maryland, or higher education.
Working knowledge of accounting principles and practices.
Familiarity with PeopleSoft and digital communication tools.
