Job Function:
Respond to customer requests for information regarding registration and parking; provide instructions to staff and students on the in-house parking management system; assist in problem resolution regarding parking regulations, violations, appeals, billing, etc. Process payments, receipts, and perform high volume data entry work that includes processing of traffic records, permits, fines, and registrations in a customer service environment.
Minimum Education:
Eighteen months of specialized training or education beyond high school or equivalent in office management or related area.
Minimum Experience:
At least one year of customer service experience.
Preferred Experience:
Additional years of experience in customer service.
Duties and Responsibilities:
- Effectively communicate with customers on requests for information; includes answering questions regarding individual customer accounts as well as overall university regulations regarding parking. Operate in high volume, fast paced environment using conflict management skills while providing excellent customer service.
- Work independently and make judgments on various situations to efficiently keep the front counter functioning.
- Oversee the daily activities of student employees including training and directing work on front counter, phone procedures and reconciliation processes, as well as any additional services performed throughout their shift.
- Use on-line computer software including Microsoft Word, Excel as well as independent in-house database systems to verify parking receipts and permits. Apply bookkeeping skills to verify account numbers, prepare receipts, balance cash drawers, and reconcile appropriately at the end of each shift.
- Interview clients to solve parking permit assignments or citation problems. Provide written and verbal instructions to staff and students on the in-house parking management system and services offered by the Office of Parking Services.
- Issue all parking permits offered by the office and collect fees. Maintain a detailed knowledge of the in-house parking system as well as the parking rules and regulations to ensure customers’ accounts remain up to date.
- Work with internal and external offices to keep students accounts up to date. Includes but not limited to, informing the Student Financial Services office of all releases of holds on vehicle accounts, contacting Police Department to release immobilized vehicles and inform towing companies when vehicles are eligible for release.
- Maintain detailed knowledge of both the campus buildings as well as all parking lots and metered spaces to help customers navigate. Maintain knowledge of all pricing for permits and available times lots may be accessed.
- Maintain confidentiality and appropriately handle sensitive communications with all customers.
- Attend Spring & Summer new student orientation to educate new students about parking regulations on campus. Attend annual mandatory trainings given by Public Safety.
- Maintain proficiency with answering the telephone to cover other employees breaks. Must be able to speak confidently about rules and procedures to clients to provide accurate information.
- Maintain regular and predictable attendance.
- Perform other related duties as assigned.
