Reporting directly to the Associate Director of Student Affairs and working closely and collaboratively with the Director of Student Affairs, the Dean for Students, the Advisory Deans and Advisors in each of the four Pathways Academic Societies, and offices across the PME, the Academic Society Program Manager is integral to developing initiatives that support and enhance the MD student experience at HMS, fostering a supportive and enriching learning environment for medical students and ensuring their success through comprehensive academicadvising and participation in academic societies, the MD program’s learning communities.
The Academic Society Program Manager will serve as a first line of contact and support for students and will make appropriate referrals to resources. The Academic Society Program Manager will provide leadership in the MSPE (Medical Student Performance Evaluation) Process, including working closely with IT, training faculty writers and seasonal staff, working directly with students and working with temp staff hired to assist seasonally.
The Program Manager will also oversee all administrative functions of the societies, including staffing society meetings, overseeing scheduling with students, oversight of events and programs and management of the four society budgets. The Program Manager will seek avenues to increase administrative efficiency and best practices for the societies. The Program Manager will also support programs and initiatives in OSA, including orientation, class day, white coat ceremony and match day.
Basic Qualifications
5 or more years of experience. Higher education may count towards experience.
Additional Qualifications and Skills
- Bachelor’s degree preferred, with at least 3-5 years of administrative experience and demonstrated success in an academic or related environment, ideally in medical education or higher education, including direct interaction with faculty and students, preferably students at the graduate level of education;
- Experience at Harvard a plus;
- Strong communication skills and interpersonal skills including ability to work collaboratively with colleagues;
- Exemplary organization, time management and project management skills, and office and website technology skills;
- Impeccable judgment, discretion, and confidentiality required;
- Demonstrated initiative and follow-through to accomplish responsibilities;
- Ability to deal with students and with student issues with sensitivity and compassion;
- Ability to exercise independent leadership abilities;
- Ability to adapt to new challenges;
- Strong commitment to continuous process improvement;
- Adept at working well with all members of the academic community, including staff, faculty, students and senior-level administrators and leaders;
- Position requires promptness and reliability for periodic sessions and meetings outside of regular working hours.
