The Department of Biomedical Informatics (DBMI) at Harvard Medical School is hiring an Education Program Coordinator for the Master’s program in Biomedical Informatics. The Master of Medical Sciences in Biomedical Informatics (MMSc-BMI) is designed to advance the use of biomedical data, information, and knowledge for scientific inquiry, problem-solving, and decision making. This program is for students who are looking to develop skills in data science in the context of medicine and biological sciences to improve human health as a pathway to develop careers in research or industry. Reporting to the Senior Program Manager and in coordination with the program administrative team, the education program coordinator will perform day-to-day tasks critical to the operations of the MMSc-BMI program and will serve as primary contact for program stakeholders, including students, applicants, faculty, and other Harvard Medical School personnel.
Primary duties and responsibilities fall into the following areas:
Admissions
- Serve as a primary point of contact for admissions inquiries, connecting prospective applicants to other members of the program team as appropriate.
- Monitor and maintain the admissions email account.
- Draft admissions communications to prospective applicants.
- Assist with application tracking and processing.
- Track admissions decisions and receipt of required documentation for matriculation.
Student Affairs
- Act as a primary point of contact and resource students in the program, assisting students with course registration, navigating Harvard’s resources and opportunities, complying with program and school policies, and providing general guidance and support.
- Coordinate student and fellowship reimbursement processes.
- Draft informational communications to students with reminders about program policies, deadlines, events, and resources.
Event Coordination
- Coordinate and provide on-site support for program events, such as orientation, student social events, course presentations, and graduation celebration events.
- Schedule and coordinate virtual and in-person admissions events.
- Provide onsite support for Harvard Medical School all-master’s program events organized by the Office for Graduate Education.
- Provide administrative support for other events and seminars essential to the educational mission of the Department of Biomedical Informatics as assigned.
Course Support
- Assist with scheduling and room reservations for program classes and activities.
- Support maintenance of student materials on the Canvas LMS platform.
- Support the course enrollment process during the fall and spring registration cycles using the my.harvard student information system.
General Administrative Support
- Provide broad administrative support to the program team including: scheduling of committee meetings and student appointments; data collection and reporting; space and facilities management; website management; and expense tracking.
Basic Qualifications
3+ year of administrative experience. A Bachelor's degree may count towards experience.
Additional Qualifications and Skills
- Bachelor's degree strongly preferred.
- Administrative experience in higher education or other student-facing roles.
- Experience providing administrative support in a fast-paced environment with flexibility, and proven ability to multi-task.
- Able to accurately track information with a high level of detail and organization.
- Experience with MS Office and Google spreadsheets/documents.
- Strong communication skills and proven interpersonal skills.
- Demonstrated commitment to diversity and contributing to an inclusive working and learning environment.
- Discretion and a proven ability to handle confidential information.
