Job Description

Summary

The section of Pulmonary, Critical Care, and Sleep Medicine is seeking a Research Administrator Associate to Implement pre-award and/or post award activities and programs including, but not limited to, process improvement, compliance, and/or financial reporting and tracking. The role also assists in the development of the annual operating budget for the section as well as developing financial dashboards and reporting for key internal stakeholders.

This position is eligible to work a hybrid work arrangement.

Employees with CRA certification are eligible for certification pay.

Job Duties

Pre-Award

  • Independently manage grant portfolio and work with investigators to prepare federal, state and industry grants, contracts & subcontract submissions internally and externally. These submission can be as small as $50K/year to >$500K a year. -Serve as liaison between PI and SPO to correct applications and create/execute subaward agreements.
  • Gather and create documents necessary for grant submission including budgets, budget justification, other support, statement of work, etc and communicate timelines to investigator to ensure applications are submitted on time to central office for review and approval.
  • Review and approve grant applications in the College's electronic Biomedical Research and Assurance Information Network (BRAIN).
  • Ensure investigators and applications are complaint with all guidelines.
  • Attend workshops on research administration for continued education and contribute to the development and improvement of the pre-/post- award management process

Post-Award

  • Develop, prepare, analyze and/or review reports summarizing research financial activity and communicates with leadership, faculty, and staff on the performance of research grants, philanthropic gifts, and other funded projects.
  • Performhigh-level analysis on large-scale grants and gifts ($1 million+ in awarded funds) including identifying trends and variances, variance explanations, and identify opportunities to increase or decrease spending. In addition, regular benchmarking will be conducted to ensure we are utilizing operational, grant, and philanthropic dollars accordingly.
  • Reviewand approvefinancial transactions and entries, including shopping carts, travel requests, and financial transactions involving assigned grant accounts to ensure the proper allocation of expenses following BCM policy and sponsor guidelines.
  • Assistwith the annual budget which includes accounting for cost and effort for faculty and staff on assigned grants and applicable expenses for other budgeted categories.
  • Providetraining for other staff and ensures the specialist and financial analysts' entries and transactions are completed appropriately.
  • Assistwith post-award grants management.
  • Provide oversights and advise on post-awards managements to section administrators and other members of research administration team in the department.
  • Advise section administrators and PIs to confirm effort and sourcing of research staff to appropriate accounts monthly.
  • Submit invoices to sponsors when applicable.
  • Contribute to the preparation of budget for annual grant reporting per sponsor guidelines.
  • Cross cover to ensure all submissions are completed in time for final review and submission.

  • Prepare grant and subcontract submissions internally (BRAIN) and externally (Sponsor sites).
  • Contribute to the development and continuous improvement of the pre-award and post award grants management process.
  • Review and analyze current protocols, faculty-staff communication, and quality of the submission process. May make recommendations for process revisions and implement changes as appropriate.
  • Review and approve grant applications, certifying summary data in the College's electronic Biomedical Research and Assurance Information Network (BRAIN) on behalf of the department.
  • May contribute to the preparation of budgets for grant quarterly/biannual/annual reporting purposes.
  • Prepare financial reports and track research mission financials for department leadership review for financial performance of grants and contracts.
  • Ensure compliance with all guidelines.
  • Prepare outgoing subcontracts and review incoming subcontracts.
  • Perform other job-related duties as assigned.

Minimum Qualifications

  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.

Preferred Qualifications

  • Advanced Microsoft Excel experience
  • Experience with SAP S4 Hana, Microsoft Power BI, and other financial tools
  • Pre/Post-award grant management experience
