Job Function:

Provide administrative support services to the Office of Inclusive Excellence staff, associated committees, programs and organizations; includes budgets and financial reports.

Minimum Education:

Associate's degree or equivalent in office administration or related field.

Preferred Education:

Associate's degree in business or related field.

Minimum Experience:

At least one year of administrative or related experience.

Preferred Experience:

Experience in an academic or university office; knowledge of university systems including (but not limited to) Banner, Argos, UKG Dimensions, TMS ,Chrome River, SiteCore, and SciQuest.

Duties and Responsibilities:

  • Provide administrative support to the Associate Vice President of Inclusive Excellence and the staff of the Office of Inclusive Excellence maintaining a high level of confidentiality, managing calendars; scheduling regular and group meetings with and for the OIE team; scheduling all walk-in and emergency meetings; reserving meeting rooms; arranging and processing travel requests and reimbursements.
  • Oversee and maintain equipment and supplies inventory for the Office of Inclusive Excellence; including submitting on-line purchase orders and reimbursements; estimating and encumbering expenses for equipment, supplies and student payroll accounts; working with campus and community vendors; tracking and managing all unit funds and related budgets; keeping and updating load reports regularly.
  • Plan, prepare, and proofread publicity flyers, newsletters, articles, reports, calendars, presentations, websites, communication center announcements, social media posts, and various other documents for the Office of Inclusive Excellence; work with University Marketing and Communication and the AVP for Inclusive Excellence in this process.
  • Act as recording secretary for committees as assigned; coordinate and schedule meetings; record meeting conversations; prepare minutes of meetings; support the gathering of institutional data for office functions.
  • Coordinate applications for scholarship awards; provide reports as requested. Work with Black Faculty Staff Association representatives for the Charles R. Payne Scholarship and work with the Assistant Director of Inclusive Excellence for the Merrell T Marshall Scholarship. Work with the Associate Director of Financial Aid and Scholarships (Rob Wirt) to ensure awards are fully applied after entry into scholarship platform (BAM).
  • Respond to inquiries from the public and campus community who contact the Office of Inclusive Excellence; maintain records of visits to the office. Demonstrate a commitment to Inclusive Excellence ideals in engagement with the work of the unit. Work inclusively with people from a wide variety of backgrounds.
  • Work with OIE leadership to coordinate updates to Inclusive Excellence calendar on the BSU website and Communications Center posts.
  • Make arrangements for events sponsored by the Office; including ordering catering; scheduling rooms; preparing invitations; composing and typing correspondence; assisting in preparing all materials to be used by the Associate Vice President in university meetings and community presentations; maintaining files; processing paperwork for forms that require the Associate Vice President’s signature.
  • Maintain, monitor, and purchase furniture and furnishings for the Office of Inclusive Excellence; prepare move requests, coordinate signage and furniture moves, along with telephone changes and repairs whenever an office moves or facility remodels and modifications are scheduled.
  • Act as fund steward for Black Faculty Staff Association (BFSA) fund; provide the BFSA leadership with monthly account statement from Banner; process requests for purchases as requested.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance as required by this position.
