Position Description:

The University of Louisville's Controller’s Office is seeking a highly organized and intuitive Temporary Administrative Assistant to join our team in a fast-paced environment. This role is crucial in supporting our Workday ERP System Implementation Workstream Leads. The ideal candidate will have excellent time management skills, proficiency in Microsoft Excel and Outlook, and the ability to communicate professionally with all levels of management.

This position offers the opportunity to transition from a temporary to a permanent role based on performance and business needs. The successful candidate will thrive in a dynamic and fast-paced environment, demonstrating adaptability and a proactive approach to problem-solving.

Key Duties and Responsibilities:

  • Calendar Management: Efficiently manage Outlook calendars for Workstream Leads, scheduling meetings and ensuring optimal time utilization.

  • Meeting Coordination: Schedule and organize meetings, ensuring all necessary materials and information are prepared in advance.

  • Note Taking: Accurately record meeting minutes and distribute them to relevant parties.

  • Ad Hoc Projects: Assist with various projects as needed, demonstrating flexibility and initiative.

  • Data Entry and Accounting Support: Provide support with data entry tasks.

Preferred Qualifications:

  • Experience: Experience in an administrative or accounting role.

  • Skills:

    o Proficient in Microsoft Excel and Outlook.

    o Excellent time management and organizational skills.

    o Strong communication skills with the ability to interact professionally with multiple levels of management.

    o Ability to work intuitively and handle multiple tasks simultaneously.

Compensation Target: $20 per hour, 37.5-hour work week

This is a temporary position with an opportunity to have a hybrid schedule; a minimum of 2 days per week in the office. This position offers the opportunity to transition from a temporary to a permanent role based on performance and business needs. The successful candidate will thrive in a dynamic and fast-paced environment, demonstrating adaptability and a proactive approach to problem-solving.

Compensation will be commensurate to candidate experience.
