Perform administrative functions within the Undergraduate and Graduate Program areas of the School of Music.

Ball State University's School of Music welcomes applications for Administrative Coordinator to the Associate Director of the School of Music. 

Job Function:

Perform administrative functions within the Undergraduate and Graduate Program areas of the School of Music.

Minimum Education:

Eighteen months of administrative assistant/clerical training or education beyond high school or an additional 18 months of related experience.

Preferred Education:

Associate's degree; experience with Microsoft Office.

Minimum Experience:

At least one year of administrative assistant or general office experience.

Preferred Experience:

Additional years of related experience.

Duties and Responsibilities:

  • Compile/prepare correspondence and materials related to recruiting efforts; develop/maintain prospect files and information packets for mailing (both print and online); assist in arranging campus visits, auditions, and interviews.
  • Maintain database on prospective, current, and past students Organize and maintain database for prospective, current, and past students. Schedule prospective music students for audition dates.
  • Coordinate and maintain records/files of current graduate students; distribute and provide information on various departmental forms/check sheets, post coursework, type load reports for assistants, maintain bulletin board, coordinate recital juries, etc.
  • Prepare course offering mailings and approve registration forms; verify accuracy of information and assist with problems.
  • Coordinate with other university departments regarding graduate and undergraduate student matters.
  • Greet visitors, direct/refer to appropriate area, answer phones, schedule appointments, provide information related to graduate programs, etc.
  • Compose and type letters and memos, prepare reports and purchase requisitions, process mail, take minutes, etc.
  • Attend Undergraduate and Graduate councils, and Admissions and Award meetings to take notes; prepare materials for these meetings.
  • Administer graduate placement and other graduate exams; maintain graduate checklists.
  • Interact with the Graduate School, The Rinker Center for International Programs, Student Affairs, and the Bursar's office regarding student concerns and challenges.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
