Position Description
The Center for Primary Care (Center) was founded in 2010 to strengthen primary care education and innovation at Harvard Medical School. Over the past 10 years, the Center has grown successfully by facilitating innovations in practices, conducting original research by studying exemplar primary care systems, launching new training programs, assisting with curricular change at HMS, supporting entrepreneurs in primary care delivery, and engaging students.
As the Center continues its next phase of growth and impact, it is recruiting an enthusiastic program coordinator / manager to join and support our growing team. This dynamic role will be a member of both the Education and Innovation team, and be responsible for providing a wide range of administrative, operational, and financial duties including:
Key responsibilities:
  • Serve as the primary, administrative point of contact for both the Education and Innovation teams at the Center for Primary Care.
  • Serve as primary point of contact between student groups - including Student Leadership Committee (SLC), Family Medicine Interest Group (FMIG), and Office for Community Centered Medical Education (OCCME) Student co-leads – and Center staff / faculty to facilitate collaboration and mentorship.

Administrative & Project Management:
  • Schedule meetings for team, attend meetings when required and provide note taking, summaries, and manage follow ups and action items.
  • On-boarding/off-boarding of new fellows, interns, student partners, including clinical partner onboarding for Fellows.
  • Manage application cycle tasks, including schedule coordination, documentation preparation, feedback tracking, etc.
  • Provide all operational support for portfolio of projects, events, and courses, including conducting gap analyses, development of educational learning objectives, timelines, and adherence to milestones, deliverables, and evaluations.
  • Event coordination (room registrations, calendar invites, catering, emailing registrants/marketing).
  • Assist with website and social media content management as requested by the Assistant Director of Marketing and Communications.
  • Other duties as required.

Finance:
  • Process corporate card reimbursements, travel and expense reconciliation, and other financial activities.
  • Process/track expenses.
  • Process and track contractor/speaker payments, reimbursements.
  • Assist with invoice review and entry, contract review and management, and other finance-related tasks as requested by the Associate Director of Grants and Finance.
Basic Qualifications
5 or more years of experience. Higher education may count towards experience
 
Additional Qualifications and Skills
College degree strongly preferred or an equivalent of education plus relevant business experience with strong writing and communication skills. Previous experience in academia or health care will be highly valued as will in depth experience working with faculty, staff and assistants to coordinate complex meetings. Proven ability to prioritize and deliver quality results in a high- volume environment.
This role must handle confidential material with tact and discretion; have a strong customer service orientation and outstanding judgment and interpersonal skills; have the ability to manage high-volume, competing, and often time-sensitive priorities; strong ability to multi-task; excel at meeting deadlines and following through on projects with great attention to detail and high- quality results. This role must have good humor and be flexible, enthusiastic, and energized by change. The ability to function in an entrepreneurial, rapidly evolving setting with a “can-do”
attitude and team spirit are essential.
 
Additional Information
This is a one-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
