Requirements

International students, faculty, and researchers are an integral part of the Georgetown University community. Over 3,100 individuals from more than 120 countries study, conduct research, and teach at Georgetown. The Office of Global Services (OGS) provides a wealth of services to this community, including immigration advising and cultural and educational programming.

The Administrative Coordinator (AC) provides the general administrative and logistical support for all functions in the International Student Services (IS) unit within the Office of Global Services and coordinates the clerical functions of the student workers. The incumbent has four major roles – orientation/new student onboarding coordination, programming and events coordination, immigration document issuance, and general administrative support to IS. Reporting directly to the Associate Director of International Student Services, the AC has duties that include but are not limited to:

Orientation/New Student On-Boarding Coordination

Secure a venue for two in-person Immigration Sessions in August for over 900 students and one Immigration Session in January for approximately 75 students, organizing welcome events for these groups by reserving venues and arranging catering.

Hire and train paid student workers and over 20 volunteer international student ambassadors, hosting and facilitating pre-arrival webinars via Zoom to address new students’ questions about Georgetown.

Work closely with campus colleagues and external partners to encourage successful integration of international students to life at GU, overseeing the “GetExcited” newsletter communications with incoming students.

Implement the online International Student Orientation in Canvas each semester, working closely with the Director of Global Services who oversees the orientation budget.

Update the website and handouts for incoming students, organize an Ambassador training, and annually update the programming manual to reflect current practices.

Programming and Events Coordination:

Promote OGS's outreach and student support by organizing events, webinars, and programs for students.

Facilitate international student career week in the fall and spring semesters.

Arrange work authorization and other ISSS webinars throughout each semester.

Serve as OGS staff advisor for the International Student Association’s Global Expo event each spring.

Immigration Document Issuance

Support the incoming international student OGS team in all aspects of Immigration Document processing, including the Certificate of Eligibility for F-1 student status (Form I-20) and the Certificate of Eligibility for J-1 student status (Form DS-2019) for Georgetown’s non-immigrant students.

Review submitted documents for completeness and draft documents for review, tracking the documents submitted and immigration documents issued throughout the admissions cycle.

Update student biographical data in Banner based on information submitted in their immigration document request.

Work with the incoming international student OGS team to prepare ISSM templates for use in the admissions process and canned responses to admissions inquiries as well as document issuance communications.

Review submitted immigration documents post-arrival in preparation for SEVIS registration compliance, assisting with the management of the new international email inbox.

General Administrative Support

Provide administrative support to all full-time staff in ISS, supervising, training, evaluating, and scheduling ISS student workers.

Oversee room/AV preparation via Georgetown Event Management for meetings, events, and workshops.

Review Curricular Practical Training requests, review and respond to IS email inquiries, and manage social media.

Create and send blast email communications and monthly newsletters for current F-1/J-1 student, along with three F-1 alumni newsletters each year.

Manage Box file organization and Canvas course maintenance and troubleshooting.

Issue travel signatures each semester for new students upon SEVIS registration, managing registration follow-up (addresses/phone numbers).

Order OGS branded merchandise for new students, international ambassadors, and OGS staff.

Update handouts and forms, processing website updates as requested by staff.

Requirements and Qualifications

Bachelor’s Degree

2-3 years of administrative experience in a high paced, professional environment

Must have U.S. citizenship or U.S. permanent residence to comply with the Department of Homeland Security Designated School Official requirements

Experience working with event planning for large groups

Evidence of efficient and effective problem-solving and program management skills

Ability to communicate effectively and excellent interpersonal skills

Excellent computer skills with a working knowledge of Adobe Acrobat and Microsoft Office programs such as Word and Excel

Organizational skills to track and implement varied bodies of knowledge and functions and attention to detail

Prior strong customer service/student services/student affairs focus and interest in working with international students and demonstrated cross-cultural sensitivity
