Job Description Summary:

To provide support services to prospective, returning, and current students, staff, and faculty. To maintain student records data in accordance with federal, state and ACC records policies.

Job Description:

Description of Duties and Tasks

  • Provides service to applicants, current, and returning students; assists students with student records questions, answers incoming calls, emails and responds to inquiries.

  • Opens and distributes mail. Receives and scans student record documents into web-based document imaging and management system. Data entry of information from incoming transcripts and other documents to update student records in SIS database system.  

  • Update student records with student-submitted data change forms, residency update forms and other incoming forms and records related to student records.  

  • Working with system-generated reports, corrects and updates student record information needed to support college reporting requirements.  

  • Runs student system-delivered processes to import incoming data files into the student records system.  Works error reports to resolve any record import issues to assure full and accurate student records data import. 

  • Assists with resolution of issues for applicants, students, faculty, other college departments, and the general public. Makes appropriate referrals when needed.

  • Provides entry and registration support for events for community-based entities and agencies.  

  • Assists with gathering information and providing reports as needed to appropriate departmental operational stakeholders.

  • Assists with gathering information required to respond to student records release to authorized entities including subpoenas and student-authorized records releases.

  •  Assists with review of collegewide registration and academic calendars; assists with using Administrative-approved dates to schedule annual and semester-based work activities.

  •  Assists with process review and collaborates with other college staff to resolve issues in college systems.  

Knowledge

  • Principles and practices pertaining to admissions, recordkeeping and enrollment procedures.

  • Use a variety of spreadsheet, word processing, database, and presentation software.

  • Use of cloud-based data entry and management systems

Required Work Experience

  • One year of related work experience.

Required Education

  • High school diploma or educational equivalent.

Physical Requirements

  • Work is performed in a standard office or similar environment.

  • Subject to standing, walking, sitting, bending, reaching, pushing, and pulling.

  • Occasional lifting of objects up to 10 pounds.
