As a key member of the Vice Provost for Academic Affairs team, the Specialist plays a pivotal role in driving the adoption and success of Watermark’s Faculty Success solution within Ball State University. This position will work closely with faculty members, administrators, and other stakeholders to understand needs, provide training and support, and ensure the effective utilization of our Faculty Success solution.

We seek a dynamic and innovate individual to join our team as a Faculty Success Solutions Administrator and Operations Specialist. As a key member of the Vice Provost for Academic Affairs team, the Specialist plays a pivotal role in driving the adoption and success of Watermark's Faculty Success solution within Ball State University. This position will work closely with faculty members, administrators, and other stakeholders to understand needs, provide training and support, and ensure the effective utilization of our Faculty Success solution.

Job Function:

As a key member of the Vice Provost for Academic Affairs team, the Specialist plays a pivotal role in driving the adoption and success of Watermark’s Faculty Success solution within Ball State University. This position will work closely with faculty members, administrators, and other stakeholders to understand needs, provide training and support, and ensure the effective utilization of our Faculty Success solution.

Minimum Education:

A bachelor's degree from an accredited institution in information technology, data science, applied computer science, information system and operation management, computer technology, or a related field.

Preferred Education:

Continuing education or professional certifications as appropriate to the field.

Minimum Experience:

Three years of experience working in academic technology or an IT environment, and three years of project management experience with large multi-faceted projects providing technology solutions at a managerial or leadership level.

Preferred Experience:

  • Five years of experience working in academic technology or an IT environment, OR five years of project management experience with large multi-faceted projects at a higher educational institution providing technology solutions at a managerial or leadership level
  • Experience creating and conducting training sessions for groups with varied levels of skills and comfort with technology

Duties and Responsibilities:

  • Under the guidance of the Senior Systems Specialist for Academic Affairs, serve as the primary functional administrator and main point of contact for faculty, staff, and administrators using Watermark's Faculty Success solution. Ensure seamless user support and effective utilization of the platform.
  • Act as a liaison between users and Academic Affairs leadership to share feedback, feature requests, and enhancement opportunities for the solution. This includes screen revisions, full-service report creation, and changes needed to comply with state and federal reporting requirements.
  • Coordinate the creation, configuration, and maintenance of workflows in the Reviews, Promotion, and Tenure (RPT) module within Watermark’s Faculty Success solution. This includes workflows relating to annual merit, promotion, and promotion and tenure.
  • Partner with Information Technology (IT) to design and implement automated processes for managing user activities within the Faculty Success platform. Examples include administrative data, permanent data, scheduled teaching assignments, and contracts and grants information.
  • Collaborate with Information Technology (IT) to design and implement automated processes for managing user accounts within the Faculty Success platform. Conduct quarterly security audits to ensure compliance.
  • Develop comprehensive training materials and facilitate diverse learning opportunities, including office hours, workshops, and online video resources. Partner with the Information Technology (IT) team to create and publish detailed Knowledge Base articles. Ensure these resources are accessible on both the VPAA and Helpdesk website, providing users with clear and helpful guidance.
  • Establish and maintain documentation for all screens, processes, procedures, and workflows related to the platform.
  • Develop and maintain comprehensive audit reports and data integrity checks to ensure the accuracy and reliability of data entered into the system.
  • Utilize advanced data analytics tools to collect, analyze, and report on activities, usage trends, and key performance indicators critical to the success of the Faculty Success platform. Provide actionable insights to drive informed decision-making and continuous improvement.
  • Maintain good attendance and punctuality; be a collaborative and collegial team member.
  • Perform other related duties as assigned.
