Summary
Hospital Care at Home (HCAH) is an innovative care delivery model that offers eligible patients the opportunity to have their inpatient-level hospital care needs met from the safety and comfort of their own homes. This care option allows U-M Health to offer our patients the right care in the right place at the right time. Through a combination of in-home and virtual visits with nurses, physicians, and other clinicians as well as remote monitoring via a dedicated command center, patients will receive the same level of expert care we provide in the hospital.

Administrative Assistant Senior Healthcare

Hospital Care at Home is seeking a full-time Administrative Assistant Senior to support its leadership and clinical teams and day-to-day operational needs. The successful candidate will have effective communication, critical thinking, and problem-solving skills in addition to a demonstrated record of service excellence and commitment to teamwork. They will provide comprehensive, highly responsible administrative support to physician and administrative leaders as part of a fast-paced team with a service-oriented approach. The ability to be detail-oriented and work as part of a team is essential to the success of the person in this position.

This position is 40 hours per week and will have the opportunity to work in a hybrid model with some onsite responsibilities but otherwise working remotely. The exact arrangement for this is a balance of operational needs and personal preference.

Responsibilities*
Maintain complex faculty and administrative leadership calendars, coordinate meetings, respond to scheduling inquiries on behalf of the HCAH team in a positive and professional manner.
Reconcile reimbursements/expenses, make travel arrangements, and manage expense reporting for leadership and team members.
Process invoices from vendor partners timely and accurately.
Prepare and send correspondence on behalf of HCAH leadership which may be of a confidential and sensitive nature.
Order, deploy, and track equipment and supplies as needed for HCAH clinical and administrative teams.
Support departmental meetings and workgroups by scheduling meetings, soliciting agenda items, sending reminders, and distributing post-meeting information as needed.
Assist with onboarding all new clinical and administrative team members, including managing access to vendor platforms, relevant workspaces, and other systems as needed.
Other duties as assigned including but not limited to internal website support, development and dissemination of departmental newsletter and other communications, and assembling patient admission materials.
Required Qualifications*
High school education or equivalent administrative experience
4+ years progressively responsible administrative experience supporting both faculty and administrative leaders
Must have strong computer skills along with exceptional written and verbal skills
Ability to work independently and regularly exercise judgment and critical thinking skills in prioritizing work and managing proactively
Must be proficient using Microsoft Outlook, Teams, Word, Excel, PowerPoint and familiarity with meeting polling options/programs like Doodle, StrawPoll, etc.
Strong organizational and time management skills and the ability to successfully complete multiple tasks within established and changing deadlines
Desired Qualifications*
Associate or bachelor's degree or equivalent combination of education and experience with at least 6 years of administrative support experience for faculty and administrative staff.
Reasonable knowledge of University policies and procedures
Familiarity with Zoom, Dropbox, Qualtrics, Concur/Chrome River or comparable products and systems
