Description
The Academic Technologies Application Administrator administers, supports, and enhances enterprise academic technology platforms that support teaching, learning, enrollment, student success, and academic operations. This position serves as both a system administrator, managing application configuration, integrations, reporting, security, and platform improvements while partnering with academic and administrative stakeholders to develop effective technology solutions.

Responsibilities
Enterprise Application Administration
  • Administer and support learning management systems, CRM platforms, web applications, and related academic technologies.
  • Manage system configuration, user access, integrations, release planning, and platform lifecycle activities.
  • Monitor system performance, troubleshoot issues, and coordinate vendor support and issue resolution.
  • Maintain application documentation, standards, and operational procedures.

Constituent Relationship Management Administration
  • Administer the university's constituent relationship management platforms, including Slate and Salesforce, covering environment configuration, user accounts, roles, profiles and permission sets, sharing and security settings, and record-level access.
  • Build and maintain CRM data structures and interfaces, including objects, fields, page layouts, record types, populations and datasets, application forms, and constituent-facing portals supporting recruitment, admissions, advising, student engagement, alumni and constituent relations, and other assigned business areas.
  • Design, build, and maintain CRM automation, including workflows, rules, flows, approval processes, assignment logic, communication campaigns, and event-driven notifications, and determine when a requirement warrants development rather than configuration.
  • Administer CRM communication and engagement functionality, including email and text campaigns, templates, decision and notification letters, event and interview scheduling, and reader or review workflows.
  • Manage cyclical CRM preparation, including admissions cycle rollover, period and deadline configuration, form and portal updates, and validation of prior cycle configuration before a new cycle opens.
  • Maintain inbound and outbound CRM data flows, including application service feeds, test score and transcript imports, document and materials processing, third-party integrations, and export of records to the student information system.
  • Build and maintain queries, reports, dashboards, and list views used by admissions, marketing, academic departments, student success staff, and leadership.
  • Manage CRM data quality, including duplicate identification and merging, import and mass update jobs, validation rules, required field standards, identifier matching, and periodic data hygiene review.
  • Coordinate sandbox and test environment use, change sets or deployment pipelines, and release readiness in accordance with departmental change management practice.
  • Evaluate and support installed packages, add-ons, and CRM integrations, including licensing implications, security review requirements, accessibility, and long-term supportability.
  • Partner with undergraduate, graduate, professional, and online program stakeholders whose recruitment, advising, and engagement processes differ as well as support configurations that serve multiple business models within shared platforms.
  • Troubleshoot CRM incidents and defects, including failed imports, incomplete or duplicate records, mismatched identifiers, permission errors, communication delivery problems, and integration failures, implementing preventive configuration where possible.
Web Application Administration
  • Administer the UNE web applications environment on WordPress, including multisite configuration, user provisioning and roles, site creation workflows, themes, plugins, and template management.
  • Maintain platform health and security, including timely core, theme, and plugin updates, vulnerability remediation, backup and restore verification, spam and abuse controls, and performance monitoring.
  • Configure integrations between the web application environments and authentication, the learning management system, and assessment or accreditation processes where applicable.
  • Develop and maintain templates, starter sites, and documentation that make web applications usable without technical expertise.
  • Coordinate with communications and web staff on branding, accessibility, and institutional web standards and with information security on hosting, plugin vetting, and data handling.
Academic Technology Ecosystem and Integrations
  • Administer and support additional academic technologies as assigned, including lecture capture and media management, web conferencing integrations, academic integrity and plagiarism detection, online proctoring, course evaluation systems, accessibility checking tools, digital badging and credentialing, e-text and inclusive access platforms, tutoring and student success tools, and assessment and accreditation systems.
  • Maintain integrations among academic systems and the student information system, identity and single sign-on services, and reporting environments, including scheduled jobs, file transfers, application programming interface connections, and error handling.
  • Monitor integration health proactively, resolve failures, and implement alerting and logging so that problems are detected before users report them.
  • Evaluate new academic technology requests and pilots, contributing technical, integration, licensing, accessibility, security, and supportability assessments to the review process.
  • Maintain an accurate inventory of academic applications, integrations, data flows, owners, renewal dates, and configuration documentation in partnership with the Director and the asset and license management function.
  • Participate in application lifecycle planning, including upgrade paths, end of support timelines, consolidation opportunities, and retirement of redundant tools.
Security, Access, Compliance, and Accessibility
  • Administer user access and security configurations in compliance with institutional policies and regulatory requirements.
  • Support privacy, accessibility, audit, and information security initiatives.
  • Maintain documentation and controls for student and constituent data.
Change Management, Vendor Management, and Continuous Improvement
  • Coordinate system upgrades, releases, maintenance activities, and configuration changes.
  • Manage vendor relationships, support cases, licensing reviews, and product evaluations.
  • Identify and implement automation and process improvements that enhance efficiency and reduce operational risk.
Support, Training, and Collaboration
  • Serve as an advanced support and consultation resource for faculty, staff, and students.
  • Provide training, guidance, and troubleshooting support for supported platforms.
  • Collaborate with ITS teams, academic departments, and administrative offices to support institutional goals and technology initiatives.
  • Participate in governance groups, user groups, and advisory committees related to academic technologies as assigned.
  • Other duties as assigned

Qualifications
Bachelor's degree in Information Technology, Information Systems, Computer Science, Educational Technology, Business, or related field.
  • Minimum of three years of experience administering, configuring, or supporting enterprise applications, including responsibility for configuration, user access, and integrations.
  • Demonstrated hands-on administration experience with at least one of the following and working familiarity with the others: a learning management system such as D2L Brightspace, Canvas, Blackboard, or Moodle; an enrollment or constituent relationship management platform such as Slate or Salesforce; and/or a web content management platform such as WordPress.
  • Experience with system integrations, reporting, data management, and access administration.
  • Knowledge of information security, data privacy, accessibility, and change management practices.
  • Demonstrated analytical, problem-solving, organizational, and project management skills.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Ability to work occasional evenings or weekends and travel between campus locations as needed

Preferred Qualifications:
  • Master's degree in a related field.
  • Experience gathering business requirements, designing solutions, testing system changes, and supporting end users.
  • Experience administering D2L Brightspace, Slate, Salesforce, WordPress, or similar enterprise platforms.
  • Experience in higher education or another complex, service-oriented environment.
  • Experience supporting student information systems, academic technologies, or enrollment systems.
  • Experience with application integrations, automation, reporting tools, scripting, or identity management technologies.
  • Experience supporting accessibility initiatives, online learning environments, or technology-enabled student services.
  • Relevant technical certifications or platform-specific credentials.
