Undergraduate Recruiter
Hiring Department
The University of Texas Permian Basin's Department of Student Services welcomes applications for the position of Undergraduate Recruiter.
Salary Range
$50,000.00 depending on qualifications
Essential Functions
The Undergraduate Recruiter manages an assigned recruitment territory, population, or campaign and represents UTPB to prospective students, families, school counselors, alumni, and community partners. The position develops and executes outreach and travel plans, provides accurate admissions guidance, maintains proactive follow-up in designated systems, reviews applications and academic records, participates in admission decisions within established standards, and organizes recruitment events. The recruiter is accountable for timely and accurate execution within the assigned territory while recruitment leadership retains aggregate strategy, staffing, budget, policy, and institutional enrollment accountability.
Territory Recruitment and Outreach
1. Manage an assigned recruitment territory, special population, or campaign and maintain current knowledge of its schools, students, opportunities, barriers, and enrollment patterns.
2. Develop and execute territory outreach plans, travel schedules, visit calendars, communication activity, and follow-up aligned with established recruitment goals.
3. Build and maintain professional relationships with prospective students, families, alumni, school counselors, community partners, and other assigned constituencies.
4. Conduct proactive outreach through phone, email, text messaging, appointments, presentations, and other approved channels and maintain documented next steps.
Application Review and Admission Support
5. Guide prospective students through application requirements, deadlines, documents, program information, and established admissions processes.
6. Process admission applications, calculate GPA, review transcripts, and apply approved evaluation and articulation rules within assigned authority.
7. Make or materially recommend admission decisions in coordination with other Undergraduate Recruiters and the Undergraduate Recruitment Leadership Team.
8. Identify incomplete, conflicting, nonstandard, or policy-sensitive applications and route exceptions to the appropriate authorized reviewer.
Events and University Representation
9. Plan, organize, attend, and evaluate recruitment fairs, school visits, presentations, yield activities, and University events on and off campus.
10. Deliver accurate and engaging presentations to prospective students, families, counselors, and community groups and make appropriate referrals.
11. Coordinate assigned event logistics, materials, communications, records, and follow-up with campus partners and recruitment colleagues.
CRM, Records, and Results
12. Document prospect contacts, application status, events, referrals, next steps, and follow-up activity accurately and promptly in Slate or other designated systems.
13. Track assigned territory, campaign, application, admission, and enrollment activity and prepare accurate summaries for recruitment leadership.
14. Identify recurring questions, barriers, engagement patterns, and recruitment opportunities and provide documented observations and practical recommendations.
15. Protect student confidentiality and handle admissions records in accordance with FERPA, University policy, and records-management requirements.
Required Qualifications
2. One (1) year of experience in college admissions, student recruitment, enrollment services, student services, sales, outreach, or a related field.
3. Experience managing a territory, caseload, portfolio, campaign, or recurring outreach workflow with documented follow-up expectations.
4. Experience reviewing applications, academic records, eligibility information, or comparable detailed records and applying established requirements.
5. Ability to travel locally and nationally, operate a licensed motor vehicle, and maintain a valid driver's license and satisfactory driving record.
Preferred Qualifications
2. Experience using Slate or another customer relationship management or student information system.
3. Experience calculating GPA, reviewing transcripts, or applying admission requirements.
4. Bilingual proficiency in English and Spanish.
5. Strong presentation, communication, organization, relationship-building, and student-service skills.

Conditions of Employment

Schedule
Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.
Standard Working Conditions
1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
