Job Description

Responsibilities
Assists with maintaining calendars and scheduling meetings for the Chair of OB/GYN and other faculty assigned within the department.
Arranges, schedules, and coordinates meetings, conferences, and events for faculty and the chair.
Initiates and coordinates travel requests, travel authorizations, and travel arrangements for the Director of the Residency Program and faculty.
Reviews, updates, and maintains faculty database information.
Maintains surgical schedules for the OB/GYN department.
Coordinates, schedules, and processes semi-annual and resident evaluations.
Coordinates faculty recruitment activities: search, evaluation, selection, and hiring of new faculty.
Coordinates with the Residency Coordinator on resident recruitment, annual reviews, tracking periodic evaluations and duty hours.
Processes all clinical faculty and staff volunteer appointments and paperwork.
Reviews hiring packets for accuracy and completion; submits packets to committee members for review; contacts candidates for interviews and arranges visits.
Maintains time sheets and leave requests for the Chair of OB/GYN and assigned faculty.
Coordinates clinical faculty evaluations by residents, maintains the clinical faculty database and spreadsheets.
Performs other related duties as assigned.

Qualifications
MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative/clerical experience; OR Associate’s Degree and two (2) years of work-related experience; OR Bachelor's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

Ability to be self-motivated, detail-oriented, and highly organized.
Knowledge of and experience using online databases and other resources.
Ability to complete all types of forms designed by UT for Finance and Payroll.
Excellent interpersonal skills and the ability to communicate effectively and professionally.
Excellent written and oral communication and organizational skills.
Skill and experience with FileMaker Pro, Excel, Word, and PowerPoint.
Knowledge of UT policy and procedures is necessary.
