Assistant Director of Graduate Student Outreach and Success

Salary Range

$68,000.00 depending on qualifications

Essential Functions

 

The Assistant Director of Graduate Student Outreach and Success provides functional leadership for graduate student engagement, case management, retention, persistence, and degree-completion initiatives from matriculation through graduation. The position develops and evaluates outreach and intervention strategies, leads graduate onboarding and retention campaigns, uses student-success data to identify risk and recommend improvements, and oversees assigned graduate student-success staff, including the Graduate Student Success Coordinator. Working with Graduate Studies, academic colleges and programs, Enrollment Management, Academic Affairs, Financial Aid, the Registrar's Office, Student Accounts, Student Success, faculty, and other campus partners, the Assistant Director reduces barriers to persistence, strengthens the graduate student experience, and supports sustainable graduate and online enrollment growth.
Graduate Student Success Leadership and Case Management
1. Lead proactive outreach and individualized case-management strategies for graduate students experiencing academic, financial, personal, engagement, or administrative barriers.
2. Establish case-management expectations, review complex or escalated cases, and ensure timely documentation of student interactions, referrals, interventions, follow-up actions, and outcomes.
3. Monitor enrollment activity, registration patterns, academic performance, engagement indicators, and other available student-success data to identify students or populations at risk of attrition.
4. Develop, implement, and evaluate intervention strategies designed to improve graduate student persistence, retention, progression, and degree completion.
5. Maintain regular follow-up processes that assess student progress, confirm resource connections, and identify unresolved barriers requiring escalation.
Graduate Onboarding, Advising, and Navigation
6. Lead graduate student onboarding, orientation, transition, and engagement initiatives and establish consistent standards for delivery and follow-up.
7. Provide guidance on University policies, procedures, academic requirements, enrollment and registration processes, key deadlines, and available services within assigned authority.
8. Coordinate complex referrals and resolutions with academic departments, faculty, advising, Financial Aid, Student Accounts, the Registrar's Office, Student Success, and other support units.
Retention, Outreach, Analytics, and Continuous Improvement
9. Develop and implement retention and engagement campaigns focused on enrollment persistence, academic progression, stop-out reengagement, withdrawal prevention, and degree completion.
10. Conduct and oversee targeted outreach to stop-out students, students at risk of withdrawal, and other graduate populations requiring additional intervention.
11. Analyze graduate student-success and retention data to identify trends, assess intervention effectiveness, establish outreach priorities, and recommend continuous-improvement strategies.
12. Prepare recurring reports and assessments related to graduate engagement, retention, persistence, intervention outcomes, and degree completion for leadership review and planning.
13. Develop, document, and recommend improvements to graduate student-success workflows, communications, referral processes, and service standards.
Cross-Functional Leadership and Staff Supervision
14. Serve as the functional lead for graduate student-success coordination with Graduate Studies, Enrollment Management, Academic Affairs, Student Success, academic colleges, graduate program coordinators, and other campus partners.
15. Represent Graduate Studies in meetings and initiatives related to graduate engagement, retention, persistence, completion, and student-experience improvement.
16. Support strategic initiatives that strengthen the graduate student experience and contribute to long-term graduate and online enrollment sustainability.
17. Supervise assigned graduate student-success staff, including the Graduate Student Success Coordinator, by setting priorities, assigning work, monitoring quality and outcomes, providing coaching and training, and contributing to performance management through established University processes.

Required Qualifications

 
1. Bachelor's degree from an accredited college or university.
2. Four (4) years of professional experience in higher education, graduate studies, student success, retention, advising, enrollment management, case management, or a related field.
3. Experience developing, implementing, or evaluating student-success, retention, persistence, outreach, case-management, or intervention initiatives.
4. Experience analyzing student, enrollment, engagement, retention, caseload, or operational data and preparing reports or recommendations for leadership.
5. Experience using a customer relationship management system, student information system, student-success platform, early-alert system, or comparable technology to monitor progress and document interventions.
6. Experience supervising employees or providing formal work direction, coaching, training, and quality review for staff responsible for student-support services.

Preferred Qualifications

 
1. Master's degree from an accredited college or university.
2. Experience supporting graduate students, online learners, adult learners, or other populations requiring proactive and individualized support.
3. Experience leading retention campaigns, stop-out reengagement, early-alert interventions, case-management programs, or degree-completion initiatives.
4. Experience using Slate, Stellic, PeopleSoft, a student-success platform, CRM, early-alert system, or comparable enrollment and student-support technologies.
5. Experience developing dashboards, assessing intervention effectiveness, forecasting retention or persistence outcomes, or presenting student-success findings to leadership.
6. Experience coordinating cross-functional initiatives involving academic colleges, faculty, enrollment services, advising, financial services, registrar functions, and student-support offices.
7. Strong communication, organization, judgment, problem-solving, relationship-building, and student-service skills.

Schedule

Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.


Standard Working Conditions

1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
