The University of Texas Permian Basin's Department of Marketing & Communications welcomes applications for the position of Marketing Operations Manager

Salary Range

$60,000.00 depending on qualifications

Essential Functions

 
The Marketing Operations Manager manages and optimizes the operational execution of UTPB marketing campaigns by coordinating project workflows, campaign calendars, vendors, assets, performance tracking, attribution, and process improvement. The position serves as the central operational liaison among Marketing and Communications, campus partners, and external vendors to keep concurrent campaigns accurate, aligned, measurable, and on schedule. The role analyzes campaign and workflow data, recommends improvements, standardizes processes, and identifies automation opportunities that strengthen the University's marketing effectiveness and service to campus partners. The position focuses on operational execution, data analysis, and cross-functional project management and is not the primary role responsible for creative development or copywriting.
Campaign & Vendor Management
1. Manage the operational execution of assigned paid and organic marketing campaigns in collaboration with third-party vendors and internal partners.
2. Coordinate campaign assets, including creative files, links, vanity URLs, UTM parameters, approved social copy, and video content, and confirm that required materials are complete and delivered on schedule.
3. Review campaign components for accuracy and alignment with established brand requirements and route creative, copy, or strategy questions to the appropriate Marketing and Communications staff.
4. Serve as the primary operational point of contact between internal stakeholders and external vendors for campaign timelines, deliverables, status, and issue resolution.
Project Management & Execution
5. Administer campaign workflows in Monday.com or another approved project management platform, including project intake, timelines, task assignments, dependencies, and status tracking.
6. Maintain the cross-channel marketing calendar and coordinate campaign schedules, launch dates, deadlines, and deliverable handoffs.
7. Monitor multiple concurrent campaigns, identify risks, delays, or bottlenecks, and implement or recommend solutions that keep work on track.
Cross-Functional Coordination
8. Coordinate with colleges, departments, Enrollment Management, Student Affairs, Advancement, Athletics, and other campus partners to gather required information and assets and align expectations for deliverables and timelines.
9. Provide guidance to campus partners and vendors on approved campaign submission, asset, timeline, tracking, and workflow requirements.
Data & Performance Analytics
10. Track, analyze, and report campaign performance using Google Analytics, CRM systems, advertising platforms, and related tools.
11. Develop and maintain dashboards and reporting frameworks that evaluate campaign performance, return on investment, project status, and marketing operations effectiveness.
12. Maintain data integrity for UTM parameters, campaign attribution, links, naming conventions, and related tracking data.
13. Translate campaign and workflow data into actionable recommendations that improve campaign effectiveness, resource use, and service delivery.
Process Optimization
14. Develop, document, standardize, and refine marketing operations workflows, templates, campaign tracking methods, and operating procedures to improve efficiency and scalability.
15. Identify opportunities to automate repetitive tasks and improve integrations among project management, CRM, analytics, advertising, and marketing automation platforms.

Required Qualifications

 
1. Bachelor's degree in Marketing, Business, Communications, or a related field.
2. Three (3) years of experience in marketing operations, project management, campaign management, digital marketing, marketing analytics, or related professional work.
3. Experience working with third-party vendors and coordinating multi-channel campaigns.
4. Experience building and maintaining project timelines, task assignments, status tracking, and cross-functional workflows.
5. Experience using project management platforms such as Monday.com, Asana, Jira, or comparable tools.
6. Experience with campaign reporting, digital marketing metrics, UTM parameters, and attribution methods.
7. Experience communicating project requirements, timelines, risks, and recommendations to multiple internal and external stakeholders.

Preferred Qualifications

 
1. Experience in higher education, public sector, nonprofit, or another large, matrixed organization.
2. Experience with CRM systems such as Salesforce or Slate.
3. Experience building dashboards with Looker Studio, Tableau, Power BI, or comparable reporting tools.
4. Experience with marketing automation platforms, web analytics tools, advertising platforms, or tag-management tools such as Google Tag Manager.
5. Experience developing standard operating procedures, workflow documentation, campaign templates, or process-improvement tools.

Schedule

Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.


Standard Working Conditions

1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
