Job Description

Responsibilities
Incumbent duties require a degree of confidentiality and discretion-handles personal data, correspondence, reports, telephone calls, emails, etc. as it relates to faculty, staff and students in the College; Coordinate daily administrative operations for the Office of Clinical Affairs, including scheduling meetings, correspondence, and records management; Manage confidential personnel files, evaluations, and performance documentation; Draft, edit, and format correspondence, reports, and official communications on behalf of the Associate Dean; Assist with planning and execution of Division meetings, events, and special projects; Coordinate administrative affairs for the Tallahassee, Tampa, Jacksonville, Davie and Crestview locations; and perform administrative duties for the unit/division which include academic-program related function as assigned, manages the Associate Dean’s calendar, coordinate and process travel, requisitions, expense reports, and P-card reconciliation.

Handle administrative details on all projects, initiate and process requisitions and generate reports; Coordinate, plan, organize and implement special projects as directed such as the Pharmacy Practice faculty and staff retreats and special meetings; Responsible for coordinating personnel activities in the Division of Pharmacy Practice, which include distribution and completion al all personnel forms (i.e., employment application, AORs, faculty and staff evaluations, etc.); Secure all final approvals before forwarding to the Office of the Dean for submission to Human Resources through ImageNow; Correspond with personnel in Davie, Jacksonville, Tampa, Tallahassee and Crestview to facilitate the needs of the faculty, staff and students; Manage the C&G budget, including salary, expense, operating capital and other personal services funds and approve subsequent expenditures for the research projects; and review, and monitor accounts payables, ensuring that expenditures remain within the budgetary limits.

Implements costs control procedures; Monitors cost account to ensure adequate funds to meet departmental needs and make recommendations for reallocations of funds; Assist in coordinating and compiling information for the funding grant agency including grant personnel for grant funded positions, and tracking and maintaining records on contracted faculty, staff and students funded through the granting agencies; Work with the Associate Dean in coordinating academic course assignment and course scheduling with faculty and other related offices; Serve as liaison between the University and other state agencies/departments; Respond to requests of information from faculty staff and students; Aid in consultation with academic departments and other University support programs, schools, colleges and professional organizations; Serves as the administrative point of contact for the Pharmacy Practice Division's Canvas course sites; Assists faculty with uploading course materials, posting announcements, organizing assignments, and managing gradebook functions as necessary; Ensures course shells are properly set up each term in accordance with College and University standards; Coordinates with the Office of Instructional Technology and the Associate Dean for Academic Affairs to maintain consistency, accuracy, and accessibility of course content for all enrolled students; and, perform additional duties as requested.
Minimum Qualifications
Bachelor's degree in appropriate area of specialization and two years experience; or master's degree in an appropriate area of specialization.

Ability to plan, organize and coordinate work assignments;

This is an Administrative and Professional (A&P) position.
