Job Summary
The incumbent will administer and coordinate a variety of business, fiscal, and project management functions for University IT. Work is characterized by a variety of business, fiscal, telecommunication, and administrative functions. Work requires knowledge of applicable policies, procedures, and information systems in order to communicate and process information. The range of duties includes, but is not limited to, program coordination, program marketing and customer service, budget management, report writing, summarizing and reconciling information and financial data, records and facilities management, personnel administration and closely related functions.
Responsibilities
BUDGET & FISCAL MANAGEMENT: Complying with University budget guidelines, the business services coordinator is responsible for the IT department's budget. Frequently serves as the IT expert on financial matters. Compiles and summarizes financial data to participate in budget management and reporting. Manages a variety of business and records functions. Performs research, data collection and analysis of information, and report writing. Interprets policies and procedures to facilitate and ensure the application of sound business practices. May include integration of policies and procedures with work units external to the organization. Assesses and resolves problems that require research and review of policy and procedures. Analysis of moderately complex business operations and financial statements and makes recommendations for approval. Develops and/or edits written documents and reports information that usually spans across functional areas. Provides documentation to explain and support conclusions. Communicates interpretive information that spans across functional areas. Responds to non-routine inquiries.
BILLING: As needed, serve as backup to assist with telecommunications efforts such as billing, invoicing or auditing telecommunication services across multiple units throughout the University.
ASSET MANAGEMENT: Complying with the University asset guidelines to track all IT's assets to include assisting in maintaining IT's asset inventory, surplus and tracking documents. As needed, work directly with the Asset Management department to enter and report all asset data.
PURCHASING: Following University purchasing guidelines as needed assist with the completion of purchases for the Information Technology Department. This will include but is not limited to entering requisitions into PeopleSoft, monitoring activity to ensure the order has been completed and delivered to the customer, working with Accounts Payable to review invoices, checking with customers on receipt of merchandise, and as needed, work with purchasing to receive items and instruct AP on the release of payment. Check, review and prepare purchasing reports as needed.
CONTRACT: Complying with the University contract guidelines, assist with the completion of reviewing new and renewal contracts for the Information Technology Department. This will include but is not limited to assisting with monitoring contract activity, assisting with completing both hardcopy and electronic requisitions, working with Accounts Payable to ensure payment of contract invoices, following up on contract complications and check review, and preparing contract reports as needed.
ADMINISTRATIVE FUNCTIONS: As needed, assist with IT's administrative functions to include but not be limited to screening visitors, answering the telephone, sorting mail, badging, moving and key requests. Other duties as assigned.

Required Qualifications
Bachelor's degree from an accredited college or university with a minimum of five years' experience (in any industry) with experience performing progressively increasing administrative responsibilities in office management, financial management and/or administration (to include project management, event scheduling, logistics management, business unit relationship management) OR Associate's degree from an accredited college or university and a minimum of eight years' experience performing progressively increasing administrative responsibilities in office management, financial management and/or administration in an enterprise setting.
Preferred Qualifications
Master's degree from an accredited college or university in business or related field. Knowledge of identity management systems, specifically CS Gold and Banner. Experience in an enterprise academic and healthcare environments. Experience with a technical background in an enterprise setting. Budget experience preferred.
Knowledge, Skills, & Abilities
KNOWLEDGE
Experience in Microsoft Suite: Outlook, Word, Excel, PowerPoint, and other computer software/databases.
Must be proficient with Adobe Acrobat and understand the use of standard office equipment including multi-functional printers.
Must have in-depth knowledge of enterprise accounting (accrual and cash based).
Must be familiar with enterprise contract, purchasing and travel concepts and needs to be comfortable with IT terminology.
Knowledge of enterprise HR policies and procedures.
Must have strong critical thinking skills and reading comprehension and highly organized.
SKILLS
Excellent interpersonal, written, and verbal communication skills.
ABILITIES
Ability to prioritize and manage multiple concurrent tasks in a fast paced, high-pressure environment, exercising sound judgment and making responsible professional decisions.
Ability to work with senior management.
Ability to interact/engage with professors and students in a courteous/expedient manner, providing exceptional customer service when working with all constituents.
Ability to work in an often fast-paced retail environment
Ability to maintain confidentiality.
Shift/Salary/Benefits
Shift: Days; M-F (Work outside of the regular business hours may be required)
Pay Band: B11
Salary: $56,600/annually
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
