The Project Manager will oversee the research operations of the Institute for Quantum Information and Science, supporting faculty who manage multiple large scale grants from both private foundations and federal agencies. These grants often involve complex reporting and administrative requirements. In this role, the Project Manager will develop strategic recruitment plans for research personnel and serve as a liaison between the institute and key administrative offices, including Sponsored Programs, Sponsored Accounting, and NSF program officers. The position also provides comprehensive administrative support to faculty, postdoctoral scholars, and research assistants.

Additional responsibilities include creating and executing communications strategies to promote the institute’s research activities to private foundations and federal agencies. The Project Manager will manage budgets and financial projections for a range of grants, from single investigator awards to multi principal investigator and multi-institutional collaborations, and coordinate with principal investigators at partner institutions to ensure smooth collaboration and compliance. The role requires proactive and independent management of award reporting for both federal and private sponsors, as well as oversight of procurement processes including equipment purchases, travel arrangements, and other research related expenses. The Project Manager will also be responsible for managing the calendar and scheduling for the institute’s directors.

This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.
Education and Experience
Master’s degree in liberal arts, STEM, management, or social science discipline, or equivalent combination of education and experience.

Responsibilities
Award management throughout the lifecycle of the award, contacting NSF, DOE, etc. program officers prior to submission to discuss solicitation requirements, establishment and management of multi-institution collaborations, proposal development, and post-award budgeting, reporting and grant life-cycle management.
Proactive and independent management of reporting of awards to federal agencies and private foundations.
Coordinates fiscal administration and financial reporting of sponsored projects.
Oversees fiscal activities.
Monitors schedules for sponsor-required reporting.
Facilitates proposal development (pre-award) processes to ensure complete and on-time submission of proposals for grants and contracts.
Develops project budgets considering sponsor and University policies.
Interprets sponsor guidelines and University policies for faculty and staff in partnership with Office of Sponsored Programs.
Maintains knowledge of existing laws, policies, and procedures necessary to comply with Federal, State, University, and sponsor regulations concerning grants and contracts.
Serves as liaison to central units.
Budget oversight and budget projections for grants ranging from individual investigator to multi-principal investigator and multi-institution proposals and awards.
Liaise with principal investigators from other institutions on administration of sub-contracts. Manage processing of equipment purchasing, travel, and other expenses.
Develop communication plans to disseminate information in institutes research to the public and scientific community, ensuring proactive dissemination of the group’s research activities with private foundations and federal agencies.
Calendar and schedule management for the institute director.
