College/Department Information
The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.
Job Summary
This position is responsible for the management and administrative operations of the partnership between MCG Department of Psychiatry and Health Behavior and GA DBHDD for services provided at East Central Regional Hospital Augusta (ECRH). Will manage, coordinate, and supervise the Department of Psychiatry personnel duties. The individual is also responsible for the creation and maintenance of the Psychiatry departmental website, including enduring grand rounds content, management, and tracking. The individual will be responsible for the management of the faculty and staff positions; time management; and the postdoctoral fellowship programs.

The duties include, but are not limited to:
Department Administration Responsibilities:
Processing new positions for faculty, staff, and postdoctoral positions through HRMS/OneUSG/AU International including, but not limited to: job creation and posting, review resumes, schedule interviews, process evaluations and references, provide screenings, and service approvals, job offers. Work with human resources to hire by necessary date for the department.
Cross-train administrative support personnel and create training manuals and standard operating procedure manuals
Write Offer Letters for postdoctoral fellows
Gen Psych Web updates & Dept Updates
East Central Regional Hospital Partnership Contract Management Responsibilities:
Processing new positions for faculty, staff, and postdoctoral positions through HRMS/OneUSG/AU International including, but not limited to: job creation and posting, review resumes, schedule interviews, process evaluations and references, provide screenings, and service approvals, job offers. Work with human resources to hire by necessary date for the department.
Manage time off, bi-weekly time approvals and entries
Manage all financial activity related to partnership between Department of Psychiatry and Health Behavior and GA DBHDD for services provided at ECRH and assist with annual budgeting and renewal process.
- Write Offer Letters for postdoctoral fellows
- Process J1/Conrad/HHS Visa waivers for faculty, and postdoctoral fellows; process amendments and contract amendments as necessary
- Provide salary calculations in coordination with HR and provide all financial information as necessary to partnership leadership and faculty.
Manage faculty and staff position resources as follows:
- Conduct orientation trainings for staff employees recruited through partnership.
- Facilitate and manage performance evaluations
- Manage and maintain documentation, regarding time and attendance processes for faculty and staff assigned to ECRH site.
- Monitor faculty and staff training
- Coordination of and participation in faculty and staff interviews.
Manage all staff recruitment processes:
- Manage hiring process through MCG/ECRH divisions involved in partnership.
- Management of the visa waiver process for foreign medical graduate applicants
Management and Coordinator for the Fellowships at ECRH
- Public Psychiatry Fellowship
- Forensic Psychiatry Fellowship
- Forensic Psychology Fellowship
This includes coordinating resident recruitment through, and with the Graduate Medical Education Office. Process evaluations, performance evaluations, clinical skills evaluations, appointment/credentialing process, resident functions; maintain resident files and memberships in professional organizations when appropriate
Coordinates and communicates with GME office and the program director to maintain/update policies/procedures for all three programs
Other duties as assigned
Required Qualifications
Educational Requirements
Bachelors degree from an accredited college or university in Business Administration or a related discipline & 1 year administrative and/or management experience OR Associates degree from an accredited college or university and 2 years of relevant experience OR High School diploma or GED from a recognized state or federal accredited organization and 3 years administrative and fiscal management experience.

ABILITIES
This position will require to have extraordinary attention to detail, the ability to multitask, the ability to build relationships with individuals on all hierarchy levels, and the ability to communicate well through in-person communication and email (verbal and written communication).
Shift/Salary/Benefits
Shift: Days/M-F (work outside of the normal business hours will likely be required of an employee in an exempt level position)
Pay Band: 10
Salary: Minimum $52,500.00/Annually - $65,600/Annually
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
