Job Summary
As a party of the Facilities Planning and Development (FPD) team, the Administrative Specialist provides a full range of administrative and office support functions. FPD is responsible for the planning and execution of projects supporting UM Health missions in patient care, education and research.

Responsibilities*
Provide administrative support to the Director of Facilities Planning and the Facilities Planning and Development office, including meeting scheduling, answering phones, supply ordering, deliveries and front door access, office issue remediation, new employee onboarding/orientation, emergency mgmt. drills and the management of all FPD employee HR information and annual compliance.
Oversee payroll functions and provide payroll process support for both the Facilities Planning and Construction Services teams.
Oversee and help provide support for project schedule and system updates including information assurance auditing and reporting using departmental applications.
Provide Wayfinding project support to the FPD Blue Team Wayfinding Lead/Architect, including coordinating site visits, space information documentation and coordination of activities associated with project deliverables.
Co-Chair the department Employee Engagement committee, overseeing the scheduling of meetings along with tracking, communication, set-up and the execution of department events.
Provide requisition/purchasing support for the Interior Design team associated with furniture purchases through the Mpathways system.
Participate on the Facilities Improvement Committee, helping to both identify and lead process improvement efforts which positively impact the Facilities Planning and Construction Services teams.
Required Qualifications*
Bachelor's degree or equivalent.
Minimum of 5 years experience in an office environment supporting a team (preferably a technical team).
Ability to work well with all levels of internal/external leadership and staff, clients, and vendors.
Administrative project coordination experience is a plus.
Strong communication skills in all mediums.
Strong typing abilities (>40 words per minute)
Proficient in general computer skills and programs (Microsoft Office Suite, basic image editing, Google or Box cloud-based drives, Internet Explorer, etc.)
Willing to learn new software programs.
Ability to prioritize and multi-task work in a fast-paced environment.
Desired Qualifications*
Bachelor's degree.
Knowledge of MPathways and University policies and procedures.
Maximo CMMS program familiarity is a plus.
