Job Summary
As a member of the curriculum team in the Registrar's Office the Student Records Coordinator is responsible for managing all course scheduling processes in the Registrar's Office and managing the decentralized scheduling process of the campus. They will audit all data entry for course sections and manage all communications for course scheduling from the Registrar's Office. The person in this position will collaborate with other campus partners who work with the course schedule to improve the experience of customers utilizing the course schedule.
Responsibilities
The duties include but are not limited to:
COURSE DATA AUDITING: Ensure all course sections include mandatory information for state and federal reporting. Manage the curriculum inventory reporting process and HIP reporting process. Monitor for compliance of all AU policies for course scheduling including but not limited to the Standard Course Meeting Time Policy and the Course and Classroom Scheduling Policy. Validate academic data collection reporting each semester for each submission.
COURSE SCHEDULING EMAIL RESOURCE: Monitor and respond to scheduling correspondence sent to the [email protected] email resource. Create and update classes based on correspondence. Investigate issues submitted with sections and registration to sections emailed to the resource.
COMMUNICATION: Create content, review, and update the Registrar's website for materials related to course scheduling. Complete Peer Reviews. Maintain the curriculum calendar for the scheduling process. Maintain the course scheduling manual and associated resources. Maintain the schedule reading guide. Create and manage all standard operation procedures.
COURSE SCHEDULING: Roll the schedule forward each term. Notify departments of course scheduling deadlines and responsibilities. Assist departments with scheduling questions. Monitor progress of section updates by the deadline. Run audit reports to ensure data entry standards. Send reminders of deadlines as appropriate. Manage and audit course fees, HIP updates and STEM attributes. Manage the CIR process, INGRESS processes, release to classroom scheduling and publishing the schedule. Collaborate on the required textbook and material scheduling timeline with the bookstore.
TRAINING: Provide training to scheduling coordinators and registrar personnel as needed. Host scheduling workshops and townhalls. Coordinate meetings with customers of the schedule like the Bookstore and Classroom Scheduling. Complete training videos and resources.
OTHER: Perform other duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university with two years of progressive experience, or Associate's degree from an accredited college or university with five years of progressive experience.
Preferred Qualifications
Intermediate knowledge of computers and office equipment is needed. Skilled in Microsoft Excel and experience in customer service and/or records management

Thorough knowledge of USG rules and regulations.
Thorough knowledge of university policies and procedures related to AU.
Knowledge of integrated information systems and principles, policies and techniques of education administration.

Detail-oriented with strong prioritization and organizational skills.

Ability to maintain student records in Banner & SRS.

Shift/Salary/Benefits
Shift: Days; M-F
Pay Band: B4
Salary: $17.02/hourly-$19.83/hourly
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
