Position Description
Reporting to the Data and Systems Manager, the Data and Systems Associate works independently performing a wide range of complex and confidential award-related tasks as part of the HMS ORA Operations Team. The Data and Systems Associate will be responsible for maintaining accurate sponsored project records in Harvard’s Grants Management Application Suite (GMAS). The Data and Systems Associate will log notices and process grant management actions in GMAS, prepare action memos, and monitor GMAS data for quality assurance. Will serve as HMS's Authorized Requester for security-related actions for both GMAS and Oracle Business Intelligence (OBI), the university's financial reporting system. Will serve as subject matter expert on GMAS-related topics and respond to related requests and questions from HMS ORA and departmental grants management staff. Participates in periodic special projects for maintenance of data integrity and data clean-up. May be required to participate in GMAS-related committees and/or to provide or participate in trainings on GMAS-related topics. The Data and Systems Associate contributes to and supports a team environment. As part of the Operations Team, will liaise with Office for Sponsored Programs for financial and accounting issues and HUIT-ATS for GMAS and related sponsored systems issues. The Data and Systems Associate will embrace a continuous improvement mindset and contribute to developing and implementing process improvements aimed at streamlining ORA's work while enhancing the level of service provided. Other duties as assigned.
Basic Qualifications

4 or more years of experience required. Higher education may count toward years of experience.

Additional Qualifications and Skills
  • Strong written and oral communication skills required.
  • Ability to work independently with minimal supervision.
  • Ability to handle complex and confidential information with discretion.
  • Computer competency requiring spreadsheet, and database software required.
  • Desire and aptitude to learn complex data query tools required.
  • Sponsored research administration experience at a university or other research institution is a plus.
  • Knowledge of sponsored research regulations is a plus.
  • Excellent verbal, written, and interpersonal communication skills.
  • Problem-solving and continuous improvement mindset.
  • Comfortable with multitasking in a fast-paced, deadline-driven environment.
  • Ability to work individually or within a team, to think creatively, and provide sound advice.
  • Computer skills and strong organizational and recordkeeping skills.
