Job Profile Summary

Under limited supervision, the Employee Records & Services Analyst provides professional support to the Human Resources, Talent & Culture department through the performance of assigned core functions within the employee records functional area. This position acts as a resource to internal employees and external customers on employee records and data and represents the department on Talent & Culture initiatives.
The incumbent should be detailed oriented, a systems thinker who is able to communicate at a high level of efficacy and professionalism, both verbally and in written communications.
This position allows eligible veterans and their spouses to claim Veterans’ Preference pursuant
to Florida Statute 295. Certain servicemembers may be eligible to receive waivers for
postsecondary educational requirements, in the employment by the state and its political

Minimum Education:

  • Bachelor’s degree required preferably in Human Resources, Public Administration, or related field.

Minimum Experience/Training:

  • Minimum four years of related experience preferably in human resources field.

  • Demonstrated proficiency in Microsoft Office applications, Workday or other Human Capital Management system,

  • Demonstration of successful project management, good judgment, and a can-do attitude is highly desired.

  • An equivalent combination of experience and education may be considered.

Minimum Certifications:

  • HRCI, SHRM, or other HR certification preferred.

Essential Functions:

  • Daily - 20%: Analyzes, evaluates, maintains, and approves activities of assigned human resources function, which includes personnel actions and employment records. Ensures compliance with state laws, policies and procedures; reviews documents for accuracy and completeness and compliance with policies and procedures; enters personnel action information into Workday; delivers exemplary customer service when communicating/corresponding with administration, management, faculty, staff, outside agencies, educational institutions and the general public while maintaining confidentiality of employee and applicant information.

  • Weekly -10%: Monitors, audits, verifies, and reconciles, human resources data to ensure compliance with policies and procedures. Generates ad-hoc personnel reports.

  • Daily -10%: Serves as the liaison between Talent & Culture, external entities, and with the Office of General Counsel, Payroll, Benefits, Recruitment, Compensation, and Talent Management to provide consistent, timely and accurate information pertaining to unemployment claims, verification of employments, subpoenas, retirement, and related pertinent personnel information.

  • Daily -10%: Analyzes data and statistics for trends and patterns with attention to employee records and compliance with employment laws and regulations. Prepares reports of data results, presenting and explaining findings to resolve and/or make recommendations that comply with college policies and procedures.

  • Quarterly -10%: Conducts testing, maintains and updates test scenarios, and prepares analysis of system updates based on Workday (WD) enhancements. Monitors new WD functionality and how affects current processes. Makes recommendations to Records Management Director.

  • Daily - 10%: Prepares and maintains detailed records and electronic files related to employment, recordsprocessing activities, and faculty credentialing.

  • Other, as Needed- 5%: Maintains current knowledge of best practices and techniques through participation in professional organizations or conferences, attendance at meetings or workshops.

  • Other, as needed 10%: Performs research, special projects, tests, documents, and maintains related materials and information associated with employment records.

  • Daily- 10%- Maintains, retains, and monitors disposition schedules of employee records in compliance with state and federal regulations.

  • Other, as Needed -5%: Performs other related duties as assigned.

  • Ability to plan and manage workflow, priorities and results accomplishment.
  • Knowledge of recruitment, record keeping principles, applicable laws, and regulations relevant to human resources.
  • Ability to maintain confidentiality and handle sensitive information.
  • Fully proficient in professional and functional standards and protocols of position.
  • General understanding of College's structure, policies and practices, and the impact on own area.
  • Ability to work in a fast-paced environment and provide best in class customer service.
  • Ability to contribute in multiple related areas within the function.
