The Department of Social Sciences includes over 400 students in six undergraduate degrees and three graduate degrees. The department's undergraduate degrees are in Criminal Justice; Health, Society, and Policy; Nonprofit Leadership and Administration; Political Science; Social Work; and Sociology. The program's three graduate degrees are a Master of Arts in Intelligence and Security Studies and a NASPAA-accredited Master of Public Administration program, as well as a PhD in intelligence, Defense, and Cybersecurity Policy.
Job Summary
The position will serve as the program manager and administrative support for the PhD in Intelligence, Defense, and Cybersecurity Policy (IDCP) in the Department of Social Sciences. These duties include providing administrative support to the director of the IDCP program through assisting with the program's budgets, helping the program director fundraise for the program, assisting with recruitment for the program, processing graduate assistantships and other personnel paperwork for the program, helping students with advising and registering for classes, and other administrative tasks as needed to run the new program. The position will also help prepare graduation forms, course-related forms, and all other student-related forms for the program.
Responsibilities
The duties include, but are not limited to:
ASSIST THE DIRECTOR OF THE PhD-IDCP WITH BUDGET/ADMIN TASKS: Maintain needed files; Schedule meetings and appointments; Prepare correspondence; Maintain office functionality for the program; Prepare program reports; Process graduate assistants and other personnel paperwork; Maintain records of the program's budget; prepare and file student forms related to courses and the program. Provide customer service regarding the program to students, faculty, staff, and community in person, via email, and on the phone. Maintain the program website; Help the director coordinate and communicate with students and faculty in the program.
ASSIST THE DIRECTOR OF THE PhD-IDCP WITH STUDENT SUCCESS: Maintain a graduate worksheet for when students enter the program; maintain a list of student milestones (when they complete exams/prospectus/defense, etc./when they should start TGS paperwork; when students should graduate; schedule advising appointments for students and director.
ASSIST THE DIRECTOR OF THE PhD-IDCP WITH RECRUITMENT: Prepare promotional materials to distribute during educational fairs; produce social media posts highlighting student/faculty success; produce social media posts or marketing purposes, look for appropriate educational fairs throughout the DoD that the director can attend; help process paperwork related to recruitment travel.
MANAGE OFFICE FOR THE PROGRAM: Provide customer service regarding the program to students, faculty, staff, and community in-person, via email, and on the phone. Maintain the program website; help the director coordinate and communicate with students and faculty in the program
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Associate's degree or completion of two or more years of education from an accredited college or university and a minimum of six years of applicable experience to include at least three years in an academic setting.
Preferred Qualifications
Bachelor's degree from an accredited college or university.
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficient in Microsoft Office, PeopleSoft Financials and HRMS, Banner, Crystal, Xtender, SPSS and other computers
Knowledge of Memorandum of Understanding policies, rules, and procedures.
Knowledge and work experience with accreditation requirements.
Knowledge and work experience with event planning and coordination
Knowledge and work experience recruiting for and marketing programs
Proficient knowledge of admissions procedures
SKILLS
Excellent verbal/written communication, interpersonal, and critical thinking skills
Experience with budgeting
ABILITIES
Ability to recruit and market the program software/databases
Must demonstrate initiative, flexibility, and proven problem-solving abilities
Ability to work independently; prioritize and manage numerous functions, activities, and tasks simultaneously; complete work and meet deadlines; exercise sounds judgment; and make responsible professional decisions.
