Promote and maintain a “hassle-free” ECAP undergraduate student experience by providing guidance to all students to resolve issues related to college or university-related business services. Some work will occur on weekends and evenings.

Job Function:
In collaboration with the Director of Student Support Services in the Estopinal College of Architecture and Planning (ECAP), and college leadership, support the college in meeting its enrollment goals by actively participating in recruitment and yield programming initiatives. Promote and maintain a “hassle-free” ECAP undergraduate student experience by providing guidance to all students to resolve issues related to college or university-related business services. Some work will occur on weekends and evenings.
Minimum Education:
Bachelor’s degree from an accredited institution by date of appointment.
Preferred Education:
Master’s degree in Higher Education and Student Affairs, Leadership, or related field from an accredited institution by date of appointment.
Minimum Experience:
At least one year experience in college student event programming and higher education support initiatives with demonstrated success.
Preferred Experience:
Direct experience with college admissions, experience with SLATE, demonstrated success as project manager.
Duties and Responsibilities:
- Serve as the undergraduate point-of-contact, representative for the Estopinal College of Architecture and Planning to prospective students, their families, counselors, and other individuals and/or organizations involved with college selection process; when needed develop and deliver presentations to involved parties, or conduct one-on-one meetings with consultation; counsel students and families; advise denied students regarding re-applying and alternative pathways into ECAP programs, and present a positive and professional image of Ball State University and the Estopinal College of Architecture and Planning.
- Collaborate with the Director to identify, cultivate, and maintain strategic partnerships with industry-leading organizations and key stakeholders involved in recruitment and retention of students, implement outreach tactics to high schools and community programs – including classroom, school, and/or school job-fair visits and conduct workshops as a representative of the Estopinal College of Architecture and Planning.
- Coordinate and implement all university events related to recruitment for the Estopinal College of Architecture and Planning, including, but not limited to Preview Days, Transfer Visit Days, Admitted Student Day, Explore Ball State Day, Experience Ball State Day, Counselor Visits, Project Stepping Stone, TRIO, Jump Start, Weeks of Welcome.
- Plan and implement the college merit and scholarship awards recognition ceremony, coordinate the college senior class graphic design competition, and the college commencement ceremonies.
- Oversee the selection, supervision, training, scheduling, and payment of ECAP Student Ambassadors. Fill in as college representative when needed for college visits, including evenings, weekends, and summer terms.
- Oversee and manage the recruitment and enrollment of ECAP summer camp experiences including DesignWorks, Architecture camp and all other summer camps or workshops supported by ECAP; develop registration processes; oversee university compliance for these offerings; review and edit university contracts for housing, travel, recreation; monitor workshop payments; oversee all advertising updates and outreach for workshops.
- Serve as point-person for students needing university and college-level support services. Develop and maintain referral relationships for a range of support services and connect participants to appropriate university services as needed; work closely with ECAP academic and Ball State advising teams.
- Utilize EAB Navigate and other university programs to document student interactions, conduct student outreach, maintain campus resource listings, manage and track task progress, etc.
- Track student progress and persistence. Collaborate on the preparation of post-program/event reports
- As needed, serve as a college representative on institutional committees related to admission, recruitment, retention, and commencement.
- Supervise Program Assistants’ monitoring of student enrollment to determine section sizes, number of sections, and master scheduling that facilitates cross-disciplinary course access by all students in the college. Supervise/oversee course establishment in Banner in light of program accreditation requirements and interdisciplinary objectives. Consult with the department chairs to provide faculty-loading scenarios that impact interdisciplinary opportunities.
