Job Description
The Department of Medicine, Division of Gastroenterology is seeking a Budget Specialist to assist with the administration of post-award activities including the allocation of budgets, ensuring funds are expended correctly according to university and grant guidelines, processing journal entries and cost transfers, reconciling reports and financial data, and assisting with the closeout and Financial Status Reporting process. This position will work closely with project PI’s, co-Investigators, and administrative staff to ensure effective, accurate, and timely budget allocation, project initiation, and maintenance and reporting of all financial activity.
Specific Duties & Responsibilities
Assist in the creation of individualized sponsored project reports utilizing the new PI Dashboard System.
Reconcile accounts based on personnel encumbrances as well as planned supply spending.
Communicate with Shared Services Sponsored Projects in the submission of financial reports to sponsoring agencies.
Process personnel costing changes and will be responsible for adjusting account balances to reflect these changes.
Provide monthly, periodic and/or ad-hoc financial reporting as requested by faculty and administration.
Develop strong relationships with the SOM Divisional Research Administration, Sponsored Program Shared Shares, and SOM Divisional Business Office to resolve errors and discrepancies.
Independently learn federal grant management processes and procedures to enhance capabilities within the role.
Work in formal and informal forums with departmental personnel in issues related to grant and subaward management.
Apply working knowledge of applicable laws and regulation; verify documents for completeness and compliance with government and private agencies.
Identify weak or non-existent administrative processes and work with leadership to develop corrective action plans.
Assist with financial analysis and review procedures and systems to recommend appropriate solutions.
Perform other tasks as defined by the division.
Minimum Qualifications
High School Diploma or graduation equivalent.
Three years of related administrative and/or budget experience.
Related coursework at the college level may substitute for experience to extent permitted by the JHU equivalency formula.
