Job Description
Provide office organization and support for the administration and academic function of the College of Health. Coordinate academic affairs activities and serve as administrative assistant to the Associate Dean for Academic Affairs.
The College of Health Dean's Office at Ball State University seeks a motivated and organized Temporary Administrative Assistant. This role is essential in providing comprehensive office support and organization for the administration and academic functions of the College of Health. The successful candidate will work closely with office guests, the Assistant to the Dean & Office Manager, and the College leadership team.
Job Function:
Provide office organization and support for the administration and academic function of the College of Health. Coordinate academic affairs activities and serve as administrative assistant to the Associate Dean for Academic Affairs.
Minimum Education:
Eighteen months of education or training beyond high school or equivalent.
Preferred Education:
Associate’s degree in administration or business.
Minimum Experience:
One through three years of related office experience.
Preferred Experience:
Excellent interpersonal skills, an ability to interact with a wide variety of individuals, and employ a customer service approach.
Duties and Responsibilities:
- Perform administrative support for the Dean and Office Manager as needed and assist with general office functions. Develop and maintain ongoing relationships with faculty and staff in the College and across the university.
- Manage reception services for the Dean’s Office, including greeting & directing guests and answering questions. Assisting students, faculty & staff [internal and external],answering incoming calls & emails, and prioritizing messages according to urgency.
- Assist the Office Manager and critical players with college-wide and university events related to Student Success, IPE, commencement(s), and outreach events.
- Maintain confidentiality as appropriate and follow policies and procedures related to all office functions.
- Perform other related duties as assigned.
- Maintain regular and predictable attendance.
- Manage the Associate Dean’s schedule and related processes.
Perform administrative support such as ordering supplies, assisting with travel arrangements, room reservations, and scheduling meetings to maintain the daily functions of the Dean’s Office.
