College/Department Information
The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.
Job Summary
This position will provide administrative support to the faculty and staff at the Georgia Prevention Institute. Primary responsibilities include maintenance of assigned research grants to include all related expenditures, reconciliation of expenditures, assisting in grant preparation, monthly p-card reconciliation, back-up for monthly/biweekly TimeNet, preparing travel requests and expense statements, preparing documents for auditing purposes, proper filing and archiving.
Responsibilities
Responsibilities include, but are not limited to:
ADMINISTRATIVE DUTIES: Place and track orders for assigned research grants for equipment and supplies via PeopleSoft, act as contact with procurement and/or appropriate vendors to ensure timely delivery and resolve issues pertaining to purchases and assist with grant preparation as needed.
ACCOUNTING LEDGERS/EXPENDITURES: Maintain all assigned monthly accounting ledgers and monitor expenditures, prepare travel requests and travel expense statements for faculty and staff, monitor monthly activity on grants to ensure the availability of funds, prepare Budget Amendments and Cost Transfers as necessary, contact DSPA, Financial Accounting, Purchasing, and the Budget Office to resolve any ledger discrepancies.
P-CARD MANAGEMENT: Allocate monthly p-card expenditures for faculty and staff in WORKS system, prepare documents for monthly audits from Audit and Compliance and DSPA and provide justification as needed, copy and file related documents.
GENERAL DUTIES: Provide back-up assistance to the GPI office assistant to include answering the phones, assisting research subjects and other visitors for each study, perform general clerical duties to include typing correspondence, sending packages by outside courier services, mail distribution and delivery, receipt and deliver of supplies, back-up for monthly and bi-weekly TimeNet in OneUSG, inventory tracking and ordering, arrange audio visual equipment and/or assistance, manage calendars.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support positions;
OR
High School diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years progressively responsible experience in administrative support positions.
Knowledge, Skills, & Abilities
Ability to maintain confidentiality.
Excellent interpersonal, verbal, and written communication skills.
Proficient in Microsoft Office and other computer software/databases.
Detail-oriented with strong prioritization and organizational skills.
Shift/Salary/Benefits
Shift: Days; Monday - Friday.
Pay Band: B2
Salary Minimum: $15.77 - $18.78 hourly.
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
