Job Summary
Responsible for providing support to CAHS administration and department chair, by planning, organizing, as well as budget and operational management in the Department of Allied Health Professions. This position will provide support for several complex programs: Dental Hygiene, BS Health Administration, Clinical Laboratory Sciences, Health Information Administration, Nuclear Medicine Technology, Radiation Therapy, and Respiratory Therapy.
Responsibilities
The duties include, but are not limited to:
BUDGET MANAGEMENT: Responsible for managing departmental budgets from all fund sources for seven programs. Purchase office and clinical supplies, equipment, furniture, etc. Manage and reconcile all departmental budgetary accounts for all fund sources. Authorize and submit requisitions, check requests, travel authorizations/ reimbursements, and as well as preparation of budget amendments. Review pre-payroll reports and distributions. Monitor and make recommendations regarding utilization of departmental resources and efficiencies.
BUSINESS OPERATIONS: Ensure efficiency of business operations. Provide general clerical support: answering the main phone line, greeting visitors and students, and directing guests to the appropriate areas. Develop, implement, and monitor compliance of administrative policies and procedures. Ensure administrative and operational support is adequately provided.
SUPERVISE: Supervise Administrative Assistant I
PERSONNEL: Responsible for timely processing of personnel paperwork for staff and faculty positions, including time and attendance, effort reporting, etc. Initiate all personnel actions including ePars, employment requests, faculty/staff recruitment, faculty/staff initial employment documentation, adhoc salary changes, etc.
DEPARTMENT PROJECTS: Compile data for confidential reports, surveys etc.; meet with chair and program directors to plan necessary departmental activities. Responsible for special projects as assigned by the chair.
INVENTORY: Serves as Assistant Property Control Officer for the department. Submit Asset Management paperwork for relocation, transfer, and/or surplus. Complete annual inventory audit and Equipment Loan Agreements. Maintain complete inventory listing to include computers, printers, fax machines etc.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
High School Diploma, GED, or equivalent from a State or Federal accrediting organization and nine years' progressively responsible office experience to include demonstrated supervisory experience and direct budgetary management experience.
OR
Associate's degree from an accredited college or university in a related field and a minimum of six years' progressively responsible office experience, to include supervisory experience.
Preferred Qualifications
Graduation from an accredited college or university with a minimum of an Associate's degree in a related field. Five or more years of experience as an office manager with budgetary and supervisory experience.
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficient with Microsoft Office (Word, Excel, Access, and PowerPoint) and other computer software/databases.
Testing will be required to determine actual proficiency of office software and procedures. Additional testing will be conducted to determine advanced competency levels of writing abilities.

Excellent customer, interpersonal, multi-tasking, organizational, and verbal/written communication skills

ABILITIES
Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records, and make independent decisions.
