College/Department Information
The Department of Neuroscience and Regenerative Medicine is charged with conducting high-impact original biomedical research and translating the findings to clinical applications, and in educating future physicians and researchers. Our research addresses fundamental questions in basic and translational neuroscience, particularly in neuronal degeneration and regeneration.

Job Summary
This Office Coordinator position will assist the Department Administrator with the workflow within the DNRM. This is a non-supervisory position with responsibilities related to operations, budget and accounting that supports research laboratories of the department. Key areas of responsibility include budgeting; allocation of expenditures; award management; compliance oversight; submission of grant applications and progress reports; and other lab support related duties such as placing supply and equipment orders, as well as serve as a liaison to compliance offices on lab related matters.
Responsibilities
The duties include, but are not limited to:
Assists with Human Resources as well as International and Postdoctoral Services matters. Coordinate with IPSO to facilitate visa applications and requirement for faculty and staff. Coordinate with IPSO and HR to ensure compliance with verification of eligibility for employment. Process administrative actions and onboard new employees, Exchange Visitors, Non-Paid Affiliates and Visiting Student Interns.
Oversee purchasing and procurement documents, including P-Card purchases for faculty, lab and administrative staff. Maintain accurate records of purchases (P-Card, PeopleSoft requisitions, Wellstar/MCG Check Requests), ensuring all purchases follow state and institutional requirements. Review and approve p-card paperwork and transactions for accuracy and allowability.
Serve as primary contact with pre-award and post-award on grant-related matters; and works in federal and private electronic research administration systems such as ASSIST, eSprout, and Proposal Central to complete pre- and post-award activities. Prepares budgets for new grant applications, competing renewals, resubmissions, and progress reports adhering to deadlines. Complete activities such as proposal preparation; proposal budget and justification; update bio sketches; format & upload files to electronic platforms. Submit via eSProute or hard-copy grant routings for DNRM faculty, postdocs & students.
Will be trained on relevant programs to provide support to the Neuroscience Graduate Program which continues to expand, currently with 15 students.
Assist in office management to include, but not limited to: preparation of FedEx and UPS shipment for research staff; report and track equipment/facility work orders; schedule and coordinate contracted preventive maintenance for equipment; coordinate IT related requests from faculty/lab staff.
Perform other related duties as assigned.
Required Qualifications
High School Diploma/GED required, with a minimum of nine years of progressively responsible office support experience.
OR
Associate's Degree with a minimum of six years of progressively responsible office support experience.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Excellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills.
ABILITIES
Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records and make independent decisions.
Shift/Salary/Benefits
Shift: Days; Monday - Friday.
Pay Band: B5
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
