The School of Public Health / Health Promotion and Behavioral Science is seeking a part-time temporary administrative support staff member to work up to 25 hours per week. This role will provide vital administrative assistance to ensure the smooth operation of departmental activities. Responsibilities mainly include administrative support and serving as a primary resource for faculty, students, and the Department Chair. The Department Coordinator will help develop and implement departmental functions, policies and strategic planning, and be involved in various aspects of the department's functions, including faculty affairs, academic programs, research activities, event coordination, safety, alumni engagement, and public relations.
Essential Duties & Responsibilities
Assist with coordinating departmental faculty meetings.
Manage office supply orders and inventory.
Update and maintain the Wall of Recognition.
Support the HPBS procard processes.
Serve as point of contact for applicants, newly admitted students, student services, outside organizations and schools, and SPHIS administration
Handle student financial reimbursements and travel logistics.
Process Graduate Research Assistant (GRA) funding requests.
Co-advise Master of Public Health (MPH) students with MPH director.
Maintain and update HPBS student database.
Review student GPAs for academic warnings and probation statuses and prepare correspondence.
Oversee all student administrative processes, including variance forms, advisor changes, add/drop requests, grade changes, and workload waivers.
Assist with independent study arrangements for students.
Support dissertation processes, including committee formation, proposal defense scheduling, and announcements.
Order textbooks for courses.
Assist with course evaluation processes.
Coordinate appointments for part-time lecturers and adjunct faculty.
Preferred Qualifications
Strong organizational and communication skills.
Ability to manage multiple tasks and deadlines.
Experience in an academic setting is preferred.
Proficiency in database management and office software.
Ability to adeptly navigate various university systems and processes
Compensation will be commensurate to candidate experience.
