Summary

The Pulmonary, Critical Care, and Sleep Medicine section in the Department of Medicine is seeking a Supervisor to lead our Affiliate administrative support team. This role involves overseeing all administrative support functions for our affiliate-based providers (ICU, HHS), including shift scheduling, reimbursements, CME budgets, credentialing, payroll inquiries, physician productivity, and general administrative needs. In addition to ensuring efficient operations, this position will assist with process improvement programs and supervise professional administrative staff. This role will also serve as a leader of culture change, quality improvement, and financial and operational maximization by developing data-driven metrics for success.

Job Duties

  • Oversee the operations for the section's affiliate operations (ICU, HHS) along with physician and section leadership.
  • Drive process improvement initiatives that support the overall goals of the Critical Care and Harris Health group and ensures efficient operations for the section's BSLMC ICU, SLSL ICU, PFW ICU, and HHS operations.
  • Manage supplemental pay requests, reimbursements, supply requests, and other program expenses.
  • Develop plans for improving utilization of resources and maintaining efficiency while seeking to minimize operational costs.
  • Manage employees at multiple pavilions to include defining work responsibilities and prioritization, setting performance development plans and goals, and conducting annual performance evaluations.
  • Develop, prepare, and interpret program data to provide actionable reports for physician leadership and section administration.
  • Monitor quality and productivity metrics, and calculate quarterly and annual bonus payouts.
  • Oversee the credentialing process for new providers and re-credentialing for existing ones.
  • Audit and analyze billing work queues, implementing improvement plans as needed.
  • Manage the human resources activities for the clinical programs in partnership with the section's human resources team.
  • Partner with Pavilion leaders to implement new initiatives and maintain daily operations.
  • Maintain and adjust affiliate staffing grids.
  • Manage the clinical roster to ensure effective utilization against approved staffing plans.
  • Responsible for physician scheduling and schedule management using QGenda, Amion, and EPIC.
  • Identify business and clinical process improvement opportunities and lead process improvement projects.
  • Assist with program development, network integrity, referral capture, and marketing initiatives required for successful growth of the clinical practice.
  • Monitor budgets, financial/operational data related to all clinical programs.
  • Responsible for oversight of billing, financials, and credentialing.

Minimum Qualifications

  • High School diploma or GED.
  • Three years of relevant experience.
