College/Department Information
Pathology sits at the cusp of basic and clinical sciences. This unique position allows the Medical College of Georgia Department of Pathology to contribute in an important and meaningful manner to clinical care through the provision of timely and accurate diagnoses as well as laboratory testing results. At the same time, investigative approaches within the department seek to further define our understanding of disease processes, paving the way for therapeutic interventions.
The Department embraces the tripartite mission of the Medical College of Georgia i.e. clinical service, education, and research. The Department of Pathology (Anatomic and Clinical Pathology) has 22 clinical faculty, including 2 members based at the Athens Campus, and 6 research faculty. Clinical services are delivered primarily to AU Medical Center's 478 bed adult hospital and the 154 bed Children's Hospital of Georgia.
The Department also operates Georgia Esoteric Molecular Laboratory, an independently licensed and CLIA certified reference laboratory, which provides esoteric molecular testing and pathology consultation services for hospitals and physicians. Approximately 1.3 million clinical laboratory procedures and 13,500 surgical specimens are processed annually. With specialty trained experts in almost every area of anatomic and clinical pathology, we provide diagnostic and consultative services, facilitating key clinical decisions.
Job Summary
This position will provide administrative support for the Department of Pathology AP and CP faculty and Business Office. Duties include faculty grant support Pathology AP and CP faculty; primary administrative support for the Pathology Blood Bank/Transfusion Medicine Fellowship Program; OneUSG Connect Time and Attendance management; coordinate MCG student rotation and complete administrative tasks; mail distribution; ordering supplies. This position will serve as back-up support for the Administrative Assistant 2.
Responsibilities
The duties include, but are not limited to:
Blood Bank Transfusion Medicine Administrative Support
Coordinate the Fellowship candidate(s) recruitment process:
  • Receive applications, review applications and invite qualified candidates for campus visits/interview.
  • Arrange meals and lodging accommodation.
  • Coordinate Fellowship candidate(s) campus interview schedules.
  • Provides applications documents for faculty review with notes.
  • Interviews are inclusive of being conducted via face-to-face or virtually.

Initiate and complete Travel Authorization and Expense
Initiate and complete Travel Authorization and Expense Reimbursement documents for CP and AP physicians (15) as/when needed.
Manage and maintain department files, faculty and staff departmental files. Initiate OA-1 forms and OA-2 annual reports in accordance with AU/MCG policy.
Order books, supplies, equipment upon request for the department, Faculty, Residents, etc.
Provide administrative support to the Clinical Pathology Section Chief and 4 CP faculty for meetings, calendar scheduling, clerical and administrative support.
Provide office coverage and support to the Administrative Assistant II (Chairman's assistant} as needed daily.
Greet visitors and customers visiting the Chairman's Office; facilitate telephone calls for the Chairman's office; and distribute mail and communications.
Maintain the department web page.
OneUSG Time and Attendance Maintenance
Maintain OneUSG Connect Time and Attendance for non-exempt and exempt personnel.
Facilitate approval of faculty and staff leave approval and requests.
Enter, correct, and approve OneUSG input.
Grant Processing & Submission Support
Assist Directors and faculty with preparation of grant proposals to include:
  • Computer entry of content
  • Reformatting data compiling drafts and revisions
  • Producing graphics
  • Obtaining resource material and supplies
  • Making all meeting arrangements

Meeting & Scheduling Support
Schedule and set up meetings as well as draft meeting minutes.
Maintain, update and distribute Clinical Pathology faculty ON-Call Schedule (QGenda system}.
Input immediate changes and provide immediate notifications for on-call schedule changes.
Maintain, update and distribute Clinical Pathology faculty ON-Call Schedule (QGenda system}.

Departmental Clerkship Coordinator
Support, coordinate, and manage all pathology electives on campus and off campus for 3rd and 4th year students.
Enter grades into Banner.
Enter student/faculty information, student grades/grades release using the One45 system.
Enter attendance information for rotating students within POUNCE.
Required Qualifications
Associate's degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support positions.
OR
High school diploma or GED and six years of progressively responsible experience in administration support positions.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Detail-oriented with excellent interpersonal, written, and verbal communication skills.
ABILITIES
Ability to maintain confidentiality. Ability to maintain a professional work environment. Ability to manage multiple projects while supervising student employees, answering phone and business process.
Shift/Salary/Benefits
Shift: Days; Monday - Friday
Pay Band: B2
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
