Summary

The Section of Cardiology in the Margaret M. and Albert B. Alkek Department of Medicine at Baylor College of Medicine is seeking a highly organized and experienced Research Administration Associate to manage both pre-award and post-award activities for the section’s research portfolio. This role will support faculty and staff in the submission, management, and compliance of grants, contracts, and research-related funding, ensuring adherence to institutional, sponsor, and federal guidelines.

This position is eligible to work a hybrid work arrangement.

Employees with CRA certification are eligible for certification pay.

Job Duties

Pre-Award Duties

  • Assist faculty in identifying funding opportunities and ensuring eligibility for grant submissions.
  • Prepare and coordinate the submission of research grant applications, including reviewing and ensuring compliance with all guidelines, formatting, and timelines.
  • Develop budgets for grant proposals, ensuring appropriate allocation of resources and alignment with sponsor requirements.
  • Liaise with the Office of Sponsored Programs and other internal departments to submit applications and address issues.

Post-Award Duties

  • Monitor awarded grants and contracts, ensuring funds are spent in accordance with sponsor regulations and institutional policies.
  • Prepare financial reports and reconciliations for research projects, working closely with the finance department and principal investigators (PIs).
  • Review and approve expenditures, personnel changes, and effort reporting related to sponsored projects.
  • Manage progress reports, no-cost extensions, and any necessary revisions for awarded projects.
  • Ensure compliance with all applicable federal, state, and institutional regulations regarding research and grant management.

Additional Duties

  • Serve as a resource to faculty and staff on matters related to research administration, including grant writing, budgeting, and compliance.
  • Provide training and guidance to new research staff and faculty members on administrative processes.
  • Stay updated on changes in sponsor policies and internal grant management procedures.
  • Assist with the development and implementation of policies and procedures to streamline research administration processes.

Minimum Qualifications

  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.

Preferred Qualifications

  • Advanced Microsoft Excel experience.
  • Experience with SAP S4 Hana, Microsoft Power BI, and other financial reporting tools.
  • Pre/Post-award grant management experience.
  • Strong leadership skills and ability to gain the confidence of faculty, staff, leaders, colleagues, etc.
  • Ability to display a professional, positive attitude with strong interpersonal skills and communication skills required and must be able to work independently and collaboratively to meet deadlines.
  • Highly detail-oriented, self-motivated, efficient, and strong organizational skills.
  • Demonstrate a high degree of flexibility in accepting work assignments with the ability to effectively prioritize tasks, understand processes, and resolve issues.
