The Chief of Staff to the President is responsible for ensuring that the President's time is maximized and spent on those activities that drive forward the organization's vision and intended outcomes and priorities. This individual will possess exceptional communication skills, outstanding executive abilities with great attention to detail, and the skills and character to interact with both internal and external stakeholders at the highest managerial levels. Make the first “best” impression for the college and the mission of the college on behalf of the president's office. This position reports directly to the President, and supervises the Executive Assistant to the President.

Duties and Responsibilities:

Governance:
  • Lead the planning and project management of the Board of Directors (Trustees), Advisory boards, and President's Forum meetings.
  • Develop and set agendas and coordinate materials.
  • Work with President and Board chairs to prepare for scheduled meetings.

Executive Support:
  • Assist the President in daily operations, including scheduling, correspondence, and meeting preparation.
  • Attend senior leadership meetings, take detailed notes, and follow up on action items.
  • Prepare presentations, reports, scorecards, key performance indicators, strategic plan progress and other documents for the President and senior leadership.
  • Represents the President, as appropriate, in resolving problems, issues and suggestions from students, parents and other constituencies, and triages requests.
  • Participate in committees involving campus-wide issues and represent the President to the campus community.
  • Provides interpretation of Saint Mary's Administrative Rules, Board of Trustees policy, state and federal laws and University policies and procedures to staff, students and members of the community.
  • Advises the President on policy and organizational issues. Assists in establishing priorities and agendas, research issues of importance and sensitivity, and produces briefing materials and information on all significant matters which require the President's attention.
  • Supports the President in leading effective senior management and leadership team; helps manage the team agenda, designs regular and periodic strategy/planning meetings, prepares or secures suitable materials to advance the team deliberations.
  • Facilitates resolution of problems that cross organizational boundaries, encouraging cooperative planning and action.
  • Other duties as assigned.

Project Management:
  • Lead or support key projects identified by the President, providing research, analysis, and implementation support, within the scope of the President's Office.
  • Develop and monitor project timelines and deliverables.
  • Coordinate cross-functional teams to ensure projects are completed on time and within scope.
  • Evaluates and researches a variety of issues, problems, etc. and makes assessments in order to advise and assist the President.

Strategic Initiatives:
  • Support the development and execution of strategic initiatives.
  • Create dashboards and summaries of strategic initiatives for senior leadership.
  • Collect and analyze data to support decision-making and strategic planning.
  • Stakeholder Engagement: Build relationships with internal and external stakeholders, including faculty, staff, students, and partners.
  • Represent the President in meetings and communications as needed.
  • Facilitate effective communication and collaboration across departments.
  • Formulate ideas and provide context for statistical modeling and analyses of institutional data to support strategic planning initiatives and decision making.

Operational Efficiency
  • Identify and propose improvements to organizational governance processes and workflows.
  • Implement governance process improvements and monitor their effectiveness.
  • Develop and maintain systems for tracking and reporting on key metrics and performance indicators, including the President's Scorecard.
  • Field lower-priority requests and take on special projects on behalf of the President
  • Execute follow-up on ad hoc requests from the President
Requirements
  • Masters degree.
  • At least five plus years' experience providing senior or executive level leadership and consulting support.
  • Possess a clear understanding and personal commitment to Saint Mary's core principles: Lasallian, Catholic and Liberal Arts Traditions.
  • Effective written and verbal communication.
  • Attention to detail, and excellent organizational and planning skills.
  • Ability to work collaboratively and interact effectively with an organization's leadership, students, faculty, and staff, as well as community and government agencies.
  • Be constituent friendly and hospitable as the face of the president's office and college.
  • Proficiency with Google Suite and Microsoft Suite: Word, Excel, Outlook, Power Point, etc. and comfortable with utilizing new technology, such as Enterprise Resource Systems (ERP), and Board Relations platforms.

Preferred Qualifications:
  • Earned Doctorate in higher education administration.
  • Project Management Certification, PMI, PMP, etc.
  • Experience working in higher education.
