Under limited supervision, this position will provide administrative support t for the Gifts Accounting, Administration and Records (GAA&R). Primary duties will include preparation and mailing of gift receipts, preparation of pledge reminder requests, daily online gift review and processing, receiving and preparing gift mail for processing and administrative support including phones and photocopying. Serve as front help desk greeter of visitors both internal and external. This position will require assisting in gift processing. This position requires strong analytical skills, excellent organization and strong interpersonal/customer service skills.
Job Description

Job Responsibilities

Manage the gift receipt process including preparation of daily receipts; duplicate receipt requests and yearly recurring receipts.

Open, sort and prepare all incoming mail for gift processing including creating records for new donors as needed

Review daily online giving transactions to identify donors, create new records and/or update contact information for existing constituents


Prepare reminders as requested by DAR staff as needed

Aid with the Lockbox, matching gift and gift process as needed: including but not limited to reviewing gifts, adjustments, answer inquiries and identify problems.

Manage inventory of receipt and billing stationary and office supplies

Provide Front Desk support including greeting visitors and answering GAA’s main phone line.

Perform additional duties as assigned

Qualifications

High School Diploma and 3-5 years of experience or equivalent combination of education and experience required. Associates degree preferred. Ability to communicate effectively and professionally, both verbally and in writing. Ability to handle confidential information appropriately. Highly organized and detail-oriented with high level of initiative, commitment to follow through, and willingness to assume responsibility. Demonstrated ability to manage and prioritize projects in a timely, effective manner. Ability to handle high volumes of work. Detail-oriented; self-starter. Ability to work effectively as part of a team and encourage others to collaborate. Enthusiasm for providing the highest level of service. Must demonstrate the ability to provide excellent customer service to a diverse group of alumni, development officers and other workers, and other professionals. Must be able to manage multiple daily tasks while working quickly, accurately, and independently.

Demonstrated ability with Microsoft Office, Word, Excel, PowerPoint, and relational databases functionality.
