This position provides essential administrative support to the Dean’s Office, specifically for the Herbarium, Laboratory Support Division, and BAS programs. While the incumbent may perform duties across all three main CSN campuses, the primary location for this role will be the Henderson campus. Key responsibilities include, but are not limited to:
Primary Responsibilities:
Administrative Support:
Provide essential administrative assistance to the School of Science, Engineering, and Mathematics.
Campus Duties:
Although responsibilities may extend to all three CSN campuses, the incumbent will be primarily based at the Henderson campus.
Program Assistance:
Assist faculty leads for the BAS programs in Environmental Conservation, Environmental Management, Land Survey and Geomatics, and Environmental Laboratory Sciences. This includes advising individual students and groups, providing information on requirements, eligibility, course content, objectives, timelines, licensing, and other relevant topics.
Provide social media support for the BAS programs, including but not limited to platforms such as Facebook, Instagram, and TikTok. Coordinate with the CSN Marketing & Communications Department to ensure consistency.
Support the Laboratory Support Division Manager in all day-to-day operations as assigned.
Assist with the operations of the Wesley Niles Herbarium and support the Herbarium Manager. Participate in organizing, scheduling, and coordinating special events and activities, including making arrangements for parking, seating, refreshments, and other amenities. Represent the departments, programs, or work units to students, faculty, leadership, and the general public.
Provide secretarial support to the Biological Sciences and Physical Sciences Departments, including faculty, assistant chairs, lead faculty, lab coordinators, student workers, student volunteers, and department chairs as needed.
Additional Responsibilities:
Answer calls on behalf of the BAS program leads, Herbarium Manager, and Lab Support Division Manager. Take detailed messages, defuse irate callers/students, prepare agendas, and take meeting minutes.
Manage budget accounts, maintain records through purchase requisitions, payment vouchers, interdepartmental forms, limited purchase orders, etc.
Prepare reports summarizing financial and statistical information, assist with budget development, create spreadsheets, prepare specialized reports, and monitor and maintain financial and statistical data.
Plan and organize operations within the area of support, establishing and implementing procedures and desk manuals.
Purchase supplies and equipment for the area of support, ensuring proper use of accounts to maximize financial benefit while meeting the needs of the departments.
Compose documents and materials, including correspondence, memoranda, reports, etc.
Handle incoming calls for the departments, providing and/or explaining information to faculty, staff, and students.
Interpret and apply department, program, and institutional policies and procedures to individuals in the office or via phone.
Distribute materials to faculty, staff, and students.
Enter class schedules and create workload/LOA contracts for the departments when requested by the department chair.
Coordinate with Department Chairs, BAS program leads, and the bookstore to ensure timely ordering of books and copies, and inform faculty of any changes due to availability.
Work with Department Chairs and office personnel to ensure the office operates professionally.
Manage the office, including responsibility for office supplies and department equipment.
Maintain reliable and consistent attendance.
Minimum Qualifications
Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations, and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims, and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience.
Starting Salary
Grade 25, Step 1 - $42,636.96.
Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
