Job Description

Responsible for the coordination and management of a variety of complex administrative, student support, and fiscal activities related to Clinical Services for the Department of Physician Assistant Studies and Services. Activities will include composing correspondence and compiling compliance documents and reports, reviewing instructional and student materials, providing administrative and operational support/management for the Clinical Year Team, and coordinating activities for students during the clinical year. May require autonomy in decision-making, program administration, public speaking, and travel.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

Clinical Year Management (70%)

· Assist the Director of Clinical Education and/or the Coordinator of Clinical Outreach and Development in the management of major aspects of the clinical rotation year.

· Assist the Director of Clinical Education and/or the Coordinator of Clinical Outreach and Development as a Program Liaison to faculty, students, alumni, and the public concerning inquiries or complaints that require interpretation of policies and procedures related to the Clinical Rotation year.

· Represent the PA Program to other administrators and outside agencies with considerable authority to make decisions on administrative policies and procedures related to the Clinical Rotation year.

· Assist with aspects related to the Clinical Rotation Affiliation Agreements with internal UIHC and external sites.

· Assist the Director of Clinical Education and/or the Coordinator of Clinical Outreach and Development with the Quarterly Meeting planning, execution, and evaluations during the Clinical Year.

· Assist the Director of Clinical Education and/or the Coordinator of Clinical Outreach and Development with the coordination and execution of End of Rotation (EOR) exams during the Clinical Year.

· Assist the Director of Clinical Education and/or the Coordinator of Clinical Outreach and Development in the evaluation of clinical rotation effectiveness and impact.

· Coordinate the Clinical Compliance process for all students before starting the Clinical Rotation year (HIPPA, ACLS/BLS, Mandatory Reporter, etc).

· Coordinates the communication process for all aspects related to the start of clinical rotations for PA program students.

· Coordinate the housing component of the Clinical Rotation year for the PA Program.

· Responsible for the development and updating of material related to the Clinical Rotation year for the PA Program Handbook, Exxat Database System, and UI ICON site.

· Serve as the PA Program Liaison for Exxat (The PA Program Clinical Year Rotation Database)

· Assist the Director of Clinical Education and/or the Coordinator of Clinical Outreach and Development to formulate, implement and manage strategic initiatives needed to address changing departmental mission, goals, and needs as they relate to the clinical rotation year.

· As needed, represent the Department of Physician Assistant Studies and Services during clinic site and preceptor visits, with some travel possible.

· As needed, represent the Department of Physician Assistant Studies and Services at physician assistant national conferences and other professional development experiences.

Departmental Operations (43%)

· As needed, assist the Director of Administrative and Student Services with aspects related to the admission process for the PA Program.

· As needed, assist the Director of Administrative and Student Services and Coordinator of Clinical Outreach and Development with the PA Program Alumni Network.

· As needed, perform public speaking engagements representing the interests of the PA Program to both internal and external audiences.

· Other duties as assigned based on the needs of the Department of Physician Assistant Studies & Services.

Typical Job Family Key Areas of Responsibility:

Operational Support and Management: Enhance and Support coordination of the curriculum and medical education. Assist with administration, supervision, and coordination of the curriculum for medical and physician assistant students.

Human Resources (HR): Initiates HR transactions at the request of others. May exercise knowledge of HR policies and procedures and provide basic guidance and advice. May provide function and/or administrative supervision for students/temporary staff as designated by supervisor.

Financial Responsibility: Initiate purchasing requests for supplies and equipment. Monitor accounts/expenditures; reconcile statements related to clinical aspects of the program.

Information Management: Typically, is the primary contact for the project, program, unit, department, or college/division by providing information and responding to inquiries. Gather and provide information using available resources related to IT matters related to clinical aspects of the program.

Communications Management: Prepare and administer correspondence. Serve as liaison to faculty, staff, students, alumni, and the public concerning inquiries or complaints requiring interpretation of policies, procedures, and programs as it relates to clinical aspects of the program.

SUPERVISION RECEIVED:

General supervision is received from the Department Administrator and/or Director of Clinical Education in the PA Program.

SUPERVISION EXERCISED:

Some functional supervision is exercised over student employees.

QUALIFICATIONS:

· A Bachelor’s degree or equivalent education and experience is required.

· At least one year of administrative support experience at a university or healthcare environment is required.

· Demonstrated evidence of a commitment to to fostering and promoting a welcoming environment in the educational or healthcare community is required.

· The successful candidate should enjoy working with students and as a member of a team.

· Must be proficient in computer software packages, databases, spreadsheet programs, and online systems.

· Must be able to maintain confidentiality in the handling of unit tasks.



DESIRABLE QUALIFICATIONS:

· Three to five years of administrative support experience at a university or within a healthcare environment is desired.

· Demonstrated ability to work independently.

· Must be able to multi-task daily and have a strong detail-orientated mindset.
