Position Summary/Purpose of Position:
The Administrative Assistant provides administrative and operations support for the Driskell Center, serves as the front desk staff member, and is responsible for meeting and greeting visitors. They also maintain office filing systems, answer phone calls coming into the main office phone line, direct customers to proper authority or impart correct knowledge about the Center’s operations. The Administrative Assistant manages the inventory of kitchen and office supplies; and assists in the creation and dissemination of documents, mail, packages, and drafting and disseminating correspondence. In addition, this position will support general business functions such as budget reconciliation, and the collection and dissemination of bills, invoices, and expense reports. This position is a Purchase Cardholder responsible for office purchase needs. The position gathers data and documentation to prepare communications and summaries and aids in the I-9 compliance process and other human resources duties. The Administrative Assistant books travel for faculty, staff, and guests, and aids in the student-employee appointment process.
Minimum Qualifications:
Education:
High School Diploma or GED.

Experience:
3 years experience providing administrative support.

Required Knowledge, Skills, and Abilities:
General knowledge of and skill in the practical application of generally accepted office practices and procedures.
Ability to communicate effective both orally and in writing.
Ability to proofread and edit written documents.
Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software. Ability to understand and follow oral and written instructions.
Ability to interact effectively with internal and external parties in a courteous and efficient manner.
Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

Other:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Excellent data entry and computer skills. Proficient in Microsoft Office, and Google Suite or similar software.

Strong customer service, and excellent verbal and written communication skills, and the ability to apply technologies to enhance the effectiveness and efficiency of communication.
Experience managing electronic filing and preparing written electronic communication.
Experience providing administrative support to a team of professionals in support of an office mission.

Physical Demands
This position is primarily sedentary work with occasional physical exertion to lift or move paper boxes or files weighing up to 20 pounds. Repetitive typing motions are involved.
Vocal communication is required for expressing or exchanging ideas. Hearing is required to perceive information. Visual acuity is necessary to perform activities such as: preparing, handling, and analyzing materials and presentations, reviewing forms and documents for accuracy and thoroughness, viewing a computer terminal, and observing general surroundings and activities.
