Perform bibliographic searching and place orders for Interlibrary Loan requests received from BSU borrowers; assist users in person and remotely; prepare invoices, vouchers, and bookkeeping for statistical reports; support an inclusive, diverse, and collaborative work environment and service culture to advance the strategic direction of the University Libraries.

Ball State University Libraries is seeking an enthusiastic and collaborative team member to join Access Services in the role of Interlibrary Loan Searcher. The Interlibrary Loan Searcher will perform bibliographic searches and place orders for Interlibrary Loan requests in support of undergraduate and graduate student learning, teaching excellence, and faculty research and publishing. In addition to staying current with daily submitted requests, the Interlibrary Loan Searcher will provide resource sharing and information services to users in person and remotely, process invoices, prepare billing records, and handle incoming and outgoing mail. Successful candidates will have customer service experience, knowledge of bibliographic citations, and effective web searching skills. The Interlibrary Loan Searcher will work independently and as a team to further University Libraries’ mission of creating transformative experiences for diverse communities of learners through excellent resources. Interlibrary Loan processed over 12,000 Ball State user requests in the 2023/2024 fiscal year. The Interlibrary Loan Searcher is integral in providing users with fast, accurate service. Job Function:

Perform bibliographic searching and place orders for Interlibrary Loan requests received from BSU borrowers; assist users in person and remotely; prepare invoices, vouchers, and bookkeeping for statistical reports; support an inclusive, diverse, and collaborative work environment and service culture to advance the strategic direction of the University Libraries.

Minimum Education:

Associate's degree or equivalent in library science, business, or related field.

Preferred Education:

Bachelor's degree.

Minimum Experience:

Over three months through one year of related experience.

Preferred Experience:

One or more years of experience in a library setting.

Duties and Responsibilities:

  • Search OCLC database for bibliographic records for user-requested materials; search holdings records for availability and determine best-suited lender group.
  • Place order for user requests on OCLC with selected libraries; accurately input required information on order form and process requests according to Interlibrary Loan standards; process Distance Education and Document Delivery requests; verify materials are available.
  • Provide Interlibrary Loan and information services to users in person and remotely.
  • Handle incoming and outgoing office mail; maintain current knowledge of systems and software used in Interlibrary Loan.
  • Perform duties of other Interlibrary Loan staff as needed.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
  • Train and monitor student assistants in the performance of area work assignments and job duties.
  • Process invoices and prepare billing records in coordination with Student Financial Services and Purchasing Services.
